Course overview
Executive assistants operate at the point where executive priorities, confidential information, stakeholder expectations and daily operational decisions meet. When calendars are managed reactively, meeting preparation is inconsistent, requests arrive through multiple channels, and follow-up lacks ownership, leaders lose time and decisions stall. This course equips executive assistants to run an executive office as a controlled management function: protecting executive capacity, anticipating pressure points, coordinating sensitive work and maintaining reliable communication across the organisation.
Participants learn practical systems for executive calendar strategy, priority triage, meeting governance, stakeholder management, travel and event coordination, document control, and action tracking. They practise translating executive objectives into weekly operating plans; applying decision filters to incoming requests; preparing concise briefing packs; managing board and leadership-team meeting cycles; and using escalation protocols for sensitive issues. The course also addresses professional judgement, discretion, executive communication and the boundaries of delegated authority.
Delivery combines instructor-led frameworks with realistic office-management scenarios, including conflicting executive commitments, an urgent board-paper request, a disrupted travel itinerary and a confidential stakeholder issue. Participants work with Microsoft Outlook, Teams, SharePoint and Planner to build repeatable workflows rather than isolated templates. Each participant leaves with an Executive Office Operating Playbook: a tailored set of calendar rules, meeting-preparation checklists, stakeholder maps, communications protocols, action registers and a 90-day implementation plan for their own executive office.
The programme is designed for experienced administrative professionals who support senior executives, directors, leadership teams or business-unit heads and need to move from transactional support to proactive executive-office management.

Requirements and prerequisites
Participants should have at least one year of experience supporting a manager, director, executive or leadership team and be comfortable managing calendars, arranging meetings and handling business correspondence. Familiarity with Microsoft Outlook email and calendar functions, Microsoft Teams meetings and shared-file practices is assumed; participants should be able to create folders, schedule appointments and work with standard office documents. No prior leadership qualification, project-management certification, board-secretariat experience or advanced Microsoft 365 administration knowledge is required. Complete beginners to executive support should first gain foundational diary-management and business-administration experience.
Training methodology
The facilitator uses short instructor-led sessions to introduce executive-office frameworks, followed by hands-on application in realistic scenarios. Participants configure calendar rules, draft briefing-pack content, analyse stakeholder requests and run meeting-action workflows using sample executive-office materials. Small-group case work tests judgement around competing priorities, confidential information and escalation decisions, while peer review improves the clarity of communications and templates.
