Course overview
Hotel finance teams must turn thousands of daily room, food and beverage, spa, parking and ancillary transactions into reliable revenue, cash and management information. Weak night audit routines, incomplete interfaces between the PMS and POS, unreviewed allowances, and late balance-sheet reconciliations can create revenue leakage, misstated departmental results and disputed owner reports. This course equips participants to trace hotel transactions from guest posting through to the general ledger, investigate exceptions and establish controls that stand up to internal audit, brand requirements and management review.
Participants learn hotel-specific accounting structures, including the Uniform System of Accounts for the Lodging Industry (USALI), departmental revenue recognition, daily revenue reporting, night audit controls, cash and card settlement, city ledger, deposits, guest ledger and intercompany accounting. They practise building revenue-control checklists, reconciling PMS, POS, payment gateway and general ledger balances, analysing revenue variances, accounting for commissions and package allocations, and preparing hotel operating statements with meaningful finance commentary.
Instructor-led sessions use realistic hotel records, including folios, trial balances, manager reports, outlet summaries and bank settlement files. Participants work through discrepancies in a simulated property, identify root causes and prepare corrective journal entries, reconciliation schedules and escalation actions. Each participant leaves with a practical Hotel Revenue Controls Pack containing daily flash-report templates, reconciliation formats, exception logs, month-end close checklists and a 30-day control-improvement plan for their property or cluster.
The course is suited to hotel accountants, income auditors and finance staff moving into operational hotel accounting, as well as managers who need stronger visibility over property-level revenue controls.

Requirements and prerequisites
Participants should be comfortable with basic bookkeeping concepts, including debits and credits, journal entries, trial balances, accruals and bank reconciliations. Some exposure to a hotel PMS, POS system, daily revenue report or month-end close process is useful, but not essential. Participants should be able to work with spreadsheet tables and simple formulas in Microsoft Excel. This is a foundation-to-intermediate course: a complete beginner in hotel finance can attend, but should expect to spend time learning hotel terminology such as folio, night audit, city ledger and guest ledger. Prior experience with Oracle OPERA Cloud, MICROS Simphony or USALI is not required.
Training methodology
The course combines instructor-led explanation with guided analysis of hotel source documents and system-style reports. Participants trace sample folios from Oracle OPERA Cloud-style PMS outputs through MICROS Simphony-style outlet summaries, payment settlements and general ledger postings. Small groups complete daily control reviews, prepare reconciliation schedules, challenge unusual transactions and present their findings as finance review meetings. The final day uses a property case to connect daily revenue controls to month-end reporting, followed by individual action planning using the supplied Hotel Revenue Controls Pack.

Day 1: Hotel accounting architecture and revenue flow
- Hotel operating departments and the USALI reporting structure
- Revenue journey from reservation, folio and outlet check to general ledger
- Guest ledger, city ledger and advance deposit ledger definitions
- Cashier banking, paid-outs and shift-close control points
- Revenue recognition for rooms, food and beverage, and ancillary services
- Chart of accounts design for hotel departments and revenue streams
- Source-to-ledger control matrices and segregation of duties

Day 2: Night audit and daily revenue controls
- Night audit sequence and business-date rollover controls
- Oracle OPERA Cloud-style manager reports and audit trail review
- Room revenue testing using occupancy, average daily rate and RevPAR
- Rate overrides, no-shows, cancellations and complimentary stay review
- MICROS Simphony-style POS checks for voids, discounts and closed checks
- Cashier overage and shortage investigation procedures
- Daily flash reporting and finance escalation thresholds
Workshop: Participants conduct a simulated night audit, identify exceptions in PMS and POS reports, and prepare a daily revenue control report.
Day 3: Reconciliations, settlements and balance-sheet controls

- Credit-card settlement matching and merchant fee accounting
- Cash, bank deposit and payment gateway reconciliation schedules

Workshop: Participants reconcile a five-system revenue case and produce journal entries, a reconciliation schedule and an unresolved-items log.
Day 4: Hotel month-end accounting and performance analysis

- Travel agent commissions, online travel agency costs and net-versus-gross presentation
- Loyalty points, gift certificates and deferred revenue treatment

- Management commentary using occupancy, ADR, RevPAR and flow-through measures
Workshop: Participants prepare a departmental operating statement from a case trial balance and write variance commentary for the general manager.
Day 5: Revenue assurance, audit readiness and control improvement

- Exception testing for voids, rebates, manual postings and rate changes
- Root-cause analysis using transaction evidence and process walkthroughs
- Internal audit documentation, control ownership and evidence retention
- Corrective journal entries and prior-period error handling

- 30-day property control-improvement planning
Workshop: Participants complete a revenue assurance case, present corrective actions to a mock finance review panel, and finalise their 30-day control-improvement plan.
