Course overview
NGO operations teams often manage programme files, partner correspondence, procurement evidence, action trackers and field updates across email inboxes, personal drives and disconnected spreadsheets. This creates version-control failures, unclear ownership, slow approvals and weak audit trails—especially when teams work across country offices, implementer partners and remote locations. This course shows participants how to configure Microsoft 365 as a practical operating environment for controlled collaboration, task coordination and operational reporting.
Participants learn to structure SharePoint Online sites and document libraries for programme and operational records; apply metadata, permissions, version history and retention practices; coordinate work through Microsoft Teams and Microsoft Planner; and build SharePoint Lists for action, risk, partner and procurement trackers. They also create Power BI dashboards that turn operational data into usable management views. The course connects each Microsoft 365 feature to NGO workflows such as grant start-up, partner due diligence, procurement follow-up, safeguarding action tracking and monthly management reporting.
Teaching is instructor-led and built around a realistic humanitarian programme operations case. Participants configure a controlled workspace, create a document-management structure, assign and monitor actions, and design a dashboard using sample NGO operational data. They leave with an NGO Microsoft 365 Operations Workspace Blueprint: a documented structure covering Teams channels, SharePoint libraries, permissions, metadata, Planner boards, Lists and a reporting dashboard design that can be adapted for their organisation.

Requirements and prerequisites
This is a foundation-to-intermediate course. Participants should be comfortable using a computer, web browser, email and basic file management, including creating folders and working with spreadsheets. Familiarity with common NGO processes such as programme implementation, partner management, procurement, grants compliance or monthly reporting is helpful because exercises use these workflows. Participants should have access to a Microsoft 365 account after the course if they intend to implement the methods immediately. No prior SharePoint administration, Power BI development, coding, database design or Microsoft certification is required. Complete beginners should expect guided practice with each tool before applying it to an NGO case.
Training methodology
The five-day programme combines short instructor demonstrations with guided configuration in a Microsoft 365 practice environment. Participants work through a humanitarian programme case involving grant files, partner actions, procurement follow-up and management reporting. Individual exercises build specific assets, while small-group workshops test decisions on permissions, metadata, ownership and escalation. Daily reviews connect tool settings to operational risks and controls. On the final day, participants assemble their workspace design and receive structured feedback on a practical implementation plan for their own NGO context.

Day 1: Microsoft 365 operating model for NGO teams

Day 2: SharePoint document control and secure collaboration

Day 3: Coordinating actions, meetings and operational follow-up
