Course overview

Monitoring and evaluation teams routinely receive partner reports, beneficiary registers, survey exports, activity trackers and indicator updates in inconsistent Excel formats. Turning these files into reliable evidence requires more than formulas: staff must trace indicator definitions, clean disaggregated data, calculate progress against targets, identify data-quality problems and present findings that programme managers, donors and field teams can act on. This course addresses the practical gap between collecting M&E data and producing defensible performance analysis.

Participants use Microsoft Excel to structure M&E datasets, apply data validation rules, clean and combine reporting files with Power Query, calculate indicator values, analyse baseline-to-endline change, and monitor actual results against planned targets. The course covers pivot tables, pivot charts, conditional formatting, lookup and aggregation formulas, dashboard design, disaggregation analysis and data-quality checks. Participants also learn how to document calculations and distinguish output, outcome and impact measures when building analysis workbooks.

Teaching is based on a development programme case study involving multi-site service delivery, beneficiary data and quarterly indicator reporting. Each day combines instructor demonstration with guided Excel builds, review of realistic data errors and peer discussion of interpretation choices. By the end of the week, each participant produces a reusable Excel M&E reporting workbook containing a cleaned dataset, indicator calculation sheet, disaggregated pivot analysis, target-versus-actual dashboard and data-quality log.

Requirements and prerequisites

A laptop with desktop Microsoft Excel 365 or Excel 2021 is required for practical work. Prior experience with Power Query, pivot tables, dashboards, statistics, coding, Power BI or formal evaluation design is not required.

Training methodology

The instructor uses a single development programme dataset throughout the week, including beneficiary records, activity data, partner submissions and indicator targets. Short demonstrations show the Excel method first; participants then build the same component in guided exercises and troubleshoot realistic errors such as duplicate IDs, missing disaggregation values and mismatched reporting periods. Case discussions focus on what findings mean for programme decisions, not just chart production. Small groups review each other's dashboards against an M&E reporting brief, followed by individual action planning for an existing workplace report.

Workshop: Participants audit a flawed beneficiary and activity register, correct key structural errors and create a validated Excel data-entry table with a data-quality log.

Day 2: Cleaning, Combining and Calculating Indicators

Day 4: Building M&E Dashboards and Reporting Views
