Course overview
Office administrators, executive assistants and team coordinators often manage calendars that are crowded, shared across departments and dependent on limited meeting rooms, senior leaders and external commitments. Poor calendar structure creates avoidable clashes, unclear ownership, missed preparation time and excessive back-and-forth. This course addresses the practical work of using Microsoft Outlook to organise individual, executive, team and resource calendars with consistent rules, reliable visibility and sound scheduling judgement.
Participants learn to configure Outlook Calendar views, create appointments and meetings correctly, manage recurring events, apply categories, set working hours and use availability information to identify suitable meeting times. The course covers shared calendars, delegated access, calendar permissions, group schedules, room and equipment bookings, meeting invitations, responses and updates. Participants also practise using Scheduling Assistant, Outlook on the web and Microsoft Teams meeting options to coordinate internal and external attendees without losing control of the calendar record.
Delivery combines instructor demonstrations with guided exercises using realistic executive-office and departmental scheduling scenarios. Participants work through diary conflicts, last-minute changes, confidential appointments, resource double-bookings and multi-attendee meeting requests. By the end of the week, each participant produces a practical Outlook Calendar Management Playbook containing their calendar categories, permission model, meeting-request checklist, escalation rules and a weekly calendar-maintenance routine ready to apply in their workplace.
The course is suited to professionals who maintain their own complex diary, coordinate meetings for others or administer calendars for a function, project team or senior leader. It gives managers a consistent operating approach for staff whose scheduling decisions affect executive time, meeting-room utilisation and day-to-day service quality.

Requirements and prerequisites
This is a foundation-to-intermediate course and is suitable for participants who already use a computer confidently for email, folders and web browsing. Participants should be able to sign in to Microsoft 365 and have basic experience sending Outlook emails and accepting meeting invitations; no prior calendar-administration or delegation experience is required. Access to Outlook for Windows or Outlook on the web is useful for practice, although a training environment can be provided. Knowledge of Microsoft Teams, Exchange administration, Power Automate or IT security configuration is not required. Complete beginners should expect to spend time becoming comfortable with Outlook navigation before progressing to shared-calendar scenarios.
Training methodology
The week is delivered through short instructor-led demonstrations followed by individual Outlook exercises in a realistic office-calendar environment. Participants configure calendars, schedule meetings across time zones, assign permissions, book rooms and respond to changing executive priorities. Case studies use common administrative situations such as confidential board appointments, recurring management meetings and double-booked resources. Peer review is used to compare scheduling decisions and communication wording. On the final day, participants consolidate their settings, checklists and operating rules into an Outlook Calendar Management Playbook and identify actions for implementing it at work.
