Course overview
Executive assistants are expected to keep complex offices operating without visible friction: protecting executive time, coordinating competing priorities, controlling confidential information, preparing decision-ready materials, and maintaining reliable follow-through across stakeholders. When systems are informal or reactive, diary conflicts, missed actions, inconsistent records, and poorly managed correspondence can quickly affect executive credibility and business performance. This course equips experienced assistants to run office administration as a controlled, service-oriented operation rather than a collection of urgent tasks.
Participants learn how to design executive support workflows for calendars, meetings, travel, correspondence, records, action tracking, office communications, and stakeholder requests. They practise prioritisation methods, inbox triage rules, delegation protocols, meeting governance, document-control conventions, and service-level standards. The course also addresses professional judgement: handling sensitive requests, escalating risks, setting boundaries with senior stakeholders, and communicating decisions clearly when priorities conflict.
Training is delivered through facilitated workshops, realistic executive-office scenarios, document reviews, and hands-on work using Microsoft 365 tools. Participants build an Executive Office Administration Playbook containing a priority framework, meeting and action tracker, communication templates, filing structure, stakeholder service standards, and a 90-day implementation plan. This provides a practical set of tools that can be adapted immediately for an executive office, leadership team, or business unit.
The course is designed for executive assistants and senior administrative professionals who already manage demanding workloads and now need stronger systems, governance, and influence in a high-trust support role.

- Senior Personal Assistants — who need more robust administrative systems for complex executive workloads
- Chief Executive Office Assistants — who support board-facing activity and require reliable governance controls
- Business Support Managers — who supervise executive support teams and need consistent operating standards

Requirements and prerequisites
Participants should have practical experience supporting managers, senior leaders, or a busy office environment and be comfortable using email, calendars, shared folders, word-processing documents, and spreadsheets. Familiarity with Microsoft Outlook, Microsoft Teams, and Microsoft Excel is assumed at a working-user level, including scheduling meetings, managing email, and updating simple trackers. Participants should understand basic business correspondence and confidential-information expectations. Advanced Excel formulas, project-management certification, formal records-management qualifications, and prior people-management experience are not required. Bring examples of recurring administrative challenges, where organisational policy permits, to tailor the implementation plan.
Training methodology
The course combines instructor-led teaching with executive-office simulations and practical Microsoft 365 activities. Participants analyse diary conflicts, redesign overloaded inbox and request workflows, prepare briefing material, and turn an unstructured meeting into an agenda, decision log, and action register. Small-group case work examines confidentiality, difficult stakeholders, travel disruption, and competing executive priorities. The instructor provides structured feedback against professional office standards. Each day contributes tools and templates to an Executive Office Administration Playbook, completed with an individual 90-day application plan on day five.
