Course overview
Major projects depend on teams being able to find the right drawing, specification, correspondence record, or approved package without questioning its status. When document registers are inconsistent, revisions circulate outside controlled workflows, and contractor responses are buried in email, teams face rework, delayed approvals, weak audit trails, and disputes over who received what and when. This course addresses the operational discipline required to use Oracle Aconex as a controlled project information environment across design, construction, and handover.
Participants learn how to structure an Aconex project workspace, apply document numbering and metadata rules, manage document registers, control revisions and superseded files, issue transmittals, and use Mail, Tasks, and Workflows to coordinate formal project communication. The course connects everyday Aconex activities to document-control requirements: ownership, permissions, distribution, review cycles, accountability, and traceability. Participants also learn to run searches, reports, and overdue-action views that give project managers reliable evidence of document status and workflow performance.
Delivery combines instructor-led demonstrations with guided work in an Oracle Aconex training environment. Participants configure a controlled document-register scenario, upload and revise project files, issue a transmittal, route a review workflow, manage correspondence, and extract status information. They leave with a completed Aconex document-control operating pack containing a numbering convention, metadata matrix, workflow map, distribution rules, reporting checklist, and a practical 30-day application plan for their own project environment.
The course is designed for professionals already working with project documentation or coordination who need to administer, govern, or make dependable operational use of Oracle Aconex rather than simply upload files.
Course objectives
By the end of this course, participants will be able to:
- Configure an Oracle Aconex document register using agreed document types, attributes, numbering rules, and folder structures
- Apply version-control procedures to upload, revise, supersede, and retrieve controlled project documents
- Create transmittals with recipient groups, issue purposes, document selections, and auditable distribution records
- Route document reviews through Aconex Workflows using defined reviewers, due dates, statuses, and approval paths
- Manage formal project correspondence through Aconex Mail, including response tracking, linked documents, and action ownership
- Set permissions and access groups that protect confidential information while enabling required project collaboration
- Produce document-status and workflow-performance reports using saved searches, filters, and overdue-action views
- Develop a project-specific Aconex document-control operating pack with governance rules and implementation actions
Benefits of attending
For you
- Build credible hands-on experience managing controlled information in an Oracle Aconex project workspace
- Improve your ability to defend document issue, revision, approval, and correspondence decisions with system evidence
- Gain a reusable document-control operating pack for applying consistent practices on a live project
- Become more effective at identifying overdue reviews, missing responses, and uncontrolled document distribution
- Strengthen your suitability for document control, project coordination, design management, and project systems roles
For your organisation
- Reduce rework caused by teams using superseded drawings, specifications, or incomplete document packages
- Create more consistent Aconex registers, metadata, permissions, and transmittal practices across projects
- Improve audit readiness through traceable document issues, workflow decisions, correspondence, and response records
- Give project managers clearer reporting on review bottlenecks, overdue actions, and document readiness
- Shorten onboarding time for project teams by establishing repeatable Aconex operating rules and templates
Target competencies
Who should attend
- Document Controllers — who maintain registers, revisions, transmittals, and auditable issue records
- Project Coordinators — who need reliable control of design, construction, and stakeholder information flows
- Project Managers — who require accurate visibility of approvals, overdue reviews, and document status
- Design Managers — who coordinate consultant deliverables, technical reviews, and approved-for-construction information
- Construction Managers — who must ensure site teams work from current, issued documentation
- PMO and Project Systems Administrators — who support Aconex workspace standards, permissions, and reporting practices
Requirements and prerequisites
Participants should understand the basic lifecycle of project documents, including drafts, revisions, approvals, transmittals, and records retention. Familiarity with construction, engineering, infrastructure, or capital-project delivery is helpful, as is prior use of any electronic document management system. Participants should be comfortable navigating web applications, uploading files, using filters, and working with spreadsheet-style registers. Prior Oracle Aconex experience is useful but not mandatory; the course begins with workspace navigation and core concepts. No coding, database administration, BIM authoring, or formal ISO 19650 certification is required.
Training methodology
An experienced instructor leads short demonstrations of Oracle Aconex functions, then participants complete guided tasks in a realistic capital-project workspace. Exercises use drawings, specifications, technical submittals, correspondence, review deadlines, and distribution groups rather than abstract sample files. Small-group workshops test decisions on document numbering, permissions, review routing, and escalation of overdue actions. Daily debriefs connect system activity to contractual records and project governance. On the final day, each participant adapts the operating pack and 30-day action plan to their own role, project stage, and Aconex responsibilities.
Course outline
Day 1: Aconex workspace and document-control foundations
- Oracle Aconex workspace navigation and module relationships
- Project information lifecycle from draft to controlled record
- Document register structure, document types, and attribute fields
- Document numbering conventions and naming-rule governance
- Folders, saved searches, and register filtering methods
- Access groups, organization roles, and information ownership
- ISO 19650 concepts applied to controlled project information
Workshop: Participants assess a poorly structured project register and produce a corrected document-numbering and metadata matrix for an Aconex workspace.
Day 2: Document registers, revisions, and controlled distribution
- Uploading documents and completing mandatory metadata
- Revision sequencing, superseded documents, and current-status control
- Bulk upload preparation and document-register validation
- Document comparison, version history, and audit-trail review
- Creating and issuing document transmittals
- Recipient groups, issue purposes, and distribution-list control
- Retrieving issued documents through searches and transmittal records
Workshop: Participants upload a design package, issue a revision, create a controlled transmittal, and produce evidence of who received the current documents.
Day 3: Formal correspondence and accountable collaboration
- Aconex Mail as a formal project correspondence record
- Mail types, subject conventions, and response-required communications
- Linking Mail to documents, transmittals, and project records
- Tasks, action ownership, due dates, and completion tracking
