Course overview
Payroll officers are expected to produce accurate net pay while maintaining a clear audit trail from timesheets and pay changes through to payroll journals, statutory remittances, and general ledger reconciliation. Errors in tax, social insurance, pension, wage garnishment, or benefit deductions can create employee disputes, late-payment penalties, misstated liabilities, and time-consuming corrections. This course equips payroll professionals to control those risks through disciplined calculation, documentation, review, and accounting procedures.
Participants learn how payroll transactions flow through the accounting cycle: gross-to-net calculations, employer costs, statutory and voluntary deductions, payroll accruals, journal entries, liability account management, payment controls, and month-end reconciliation. They practise building deduction schedules, validating payroll registers, posting payroll journals, investigating variances, and preparing remittance and reconciliation support. The course also addresses payroll data controls, segregation of duties, correction procedures, and the treatment of payroll-related employee benefits under IAS 19 Employee Benefits.
Delivery combines instructor-led explanation with spreadsheet-based calculations, payroll-register reviews, journal-posting workshops, and realistic exception cases. Participants work with sample employee records containing overtime, bonuses, pension contributions, tax deductions, arrears, and termination adjustments. By the end of the week, each participant completes a payroll accounting control pack containing a gross-to-net worksheet, statutory deduction schedule, payroll journal template, liability reconciliation, variance log, and month-end review checklist.
The course is designed for payroll officers who need stronger accounting judgement as well as payroll accuracy. It is also valuable for finance staff who review payroll postings, approve statutory payments, or support payroll audits.

Requirements and prerequisites
This is a foundation-to-intermediate course. Participants should be comfortable working with numbers, reading payslips, and using basic Microsoft Excel functions such as sums, filters, and simple formulas. Familiarity with payroll terms including gross pay, net pay, overtime, tax, pension, and deductions is helpful, but prior responsibility for a payroll run is not required. Participants should understand the purpose of a general ledger and debit-and-credit entries at a basic level. No accounting qualification, payroll certification, specialist payroll software licence, or advanced Excel capability is required. Complete beginners should expect guided practice before working through reconciliations and adjustment cases.
Training methodology
The instructor uses short payroll accounting briefings followed by worked examples in Microsoft Excel and payroll-system-style reports. Participants calculate deductions from employee data, review payroll registers for exceptions, post journals, and reconcile statutory liabilities to payment evidence and the general ledger. Small groups assess control failures such as duplicate payments, missing pension deductions, and unexplained liability balances. Daily exercises build toward an individual end-of-course payroll accounting control pack and an action plan identifying improvements to apply in the participant's own payroll process.

Day 1: Payroll foundations and the gross-to-net process

- Taxable pay versus non-taxable reimbursements and benefits
- Gross-to-net calculation sequence and payslip interpretation
- Employee deductions versus employer payroll costs
- Payroll source-document controls for timesheets, pay changes, and starters
- Microsoft Excel payroll calculation formulas, validation checks, and protected cells
Workshop: Participants complete a gross-to-net worksheet for a mixed employee payroll and produce a checked payslip calculation file.
Day 2: Statutory deductions and remittance control
- Statutory tax withholding bases, thresholds, rates, and cumulative calculations
- Social insurance and employer contribution calculations
- Mandatory pension deductions and employer pension obligations
- Wage garnishments, court orders, and deduction-priority rules
- Voluntary deductions for loans, union dues, insurance, and savings schemes
- Statutory remittance calendars, payment references, and late-payment risk
- Deduction schedule design with employee totals, employer totals, and due dates
Workshop: Participants prepare a statutory and voluntary deduction schedule from a payroll register and identify remittance exceptions requiring escalation.
Day 3: Payroll journals and accounting treatment

Day 4: Reconciliation, corrections, and payroll controls

- General ledger reconciliation for wages, tax, pension, and clearing accounts
- Payroll variance analysis using prior-period and employee-level comparisons
- Overpayment, underpayment, and retrospective adjustment procedures

- Audit trails for employee amendments, manual calculations, and payroll exceptions
Workshop: Participants investigate a case with unmatched liability balances and produce a reconciliation, adjustment journal, and corrective-action log.
Day 5: Month-end close and payroll assurance
