Course overview
PMO analysts are expected to turn fragmented project updates into reliable portfolio intelligence: schedules that can be compared, risks that can be escalated, financial variances that can be explained, and executive reports that support decisions. This requires more than updating spreadsheets or chasing status reports. Analysts need a consistent way to assess data quality, apply governance controls, identify exceptions, and communicate what portfolio information means for priorities, capacity, funding, and delivery confidence.
This five-day course develops the project management and analytical practices used by effective PMO analysts. Participants learn to build and maintain integrated project controls, define reporting data standards, analyse schedule and cost variance, maintain RAID logs, assess project health, and produce actionable dashboards. The course covers work breakdown structures, milestone plans, baselines, earned value fundamentals, resource and capacity analysis, governance calendars, stage-gate evidence, stakeholder reporting, and escalation routes. Participants use Excel, Microsoft Project and Power BI techniques to transform raw project data into decision-ready management information.
Teaching combines instructor-led explanation with a continuing PMO case study based on a multi-project change portfolio. Participants validate incomplete project data, prepare reporting packs, challenge inconsistent status assessments, and present portfolio findings to a simulated governance board. By the end of the course, each participant leaves with a practical PMO Analyst Toolkit: a project controls checklist, RAID and dependency log, status-reporting template, dashboard specification, governance calendar, and a 90-day plan for applying the methods in their own PMO.
The course is suited to PMO analysts and coordinators who support project, programme or portfolio governance, as well as project professionals moving into a reporting, assurance or portfolio-controls role. It provides a foundation in core project management while building the intermediate analytical judgement needed to report exceptions rather than simply reproduce updates.

Requirements and prerequisites
Participants should be comfortable working with spreadsheets, including entering formulas, sorting and filtering data, and interpreting simple charts. Familiarity with project terms such as milestone, task, risk, issue, stakeholder and status report is helpful, along with some exposure to a project, programme or PMO environment. Bring a laptop with access to Microsoft Excel; access to Microsoft Project and Power BI is useful but not essential because guided examples and non-licensed alternatives are provided where needed. No formal project management qualification, prior earned value experience, coding ability or advanced Power BI knowledge is required. Complete beginners should expect a focused introduction to core project controls before progressing to analysis exercises.
Training methodology
The course uses short instructor-led sessions to establish project-controls concepts, followed by structured work on a shared change-portfolio case. Participants examine source plans, financial extracts, risk logs and inconsistent status reports; then clean the data, calculate variances, assess health and prepare decision-focused outputs. Small groups simulate the relationship between delivery teams, the PMO and a governance board, including challenge and escalation discussions. Daily exercises build toward an individual PMO Analyst Toolkit, and the final session includes a 90-day application plan linked to the participant's reporting cycle, stakeholders and current control gaps.

Workshop: Participants map the reporting lifecycle for a case-study project and produce a control checklist with roles, data sources and submission deadlines.
Day 2: Planning, scheduling and performance analysis
- Microsoft Project schedule structure and task dependencies
- Critical path, float and milestone slippage analysis
- Baseline versus current-plan comparison methods
- Cost baselines, forecasts and variance explanations
- Earned value measures including PV, EV, AC, CPI and SPI
- Excel formulas, pivot tables and conditional exception flags
- Trend analysis for schedule and cost forecasting
Workshop: Using a baseline schedule and cost extract, participants calculate delivery variances and produce an exception log with forecast implications.
Day 3: Risk, issues, dependencies and delivery confidence
