Course overview
Humanitarian teams need reliable ways to share timely information, listen to affected communities, manage referrals, and detect emerging concerns when field access is constrained. RapidPro provides a practical platform for two-way SMS, WhatsApp, USSD, and voice-enabled communication workflows, but poorly designed flows can create exclusion, privacy risks, duplicate referrals, and unmanageable volumes of incoming messages. This course helps practitioners turn community engagement plans into controlled, measurable RapidPro services that support accountable humanitarian action.
Participants learn to configure RapidPro workspaces, contacts, groups, fields, triggers, flows, campaigns, and message routing. They design communication journeys for common response scenarios, including registration updates, health and protection messaging, feedback and complaint intake, referral triage, rapid needs assessments, and post-distribution monitoring. The course addresses consent, data minimisation, safeguarding, language access, disability inclusion, message testing, escalation rules, and indicator design. Participants also practise exporting and interpreting flow results for operational decision-making.
Training is delivered through instructor-led demonstrations, guided RapidPro build labs, peer design reviews, and a humanitarian response case study. Participants create and test a working RapidPro communication flow with contact fields, consent logic, automated acknowledgements, response categorisation, referral pathways, and a monitoring dashboard specification. They leave with a reusable flow design pack, message library, data protection checklist, testing script, and implementation plan that can be adapted for their organisation's response operations.
The course is suited to staff responsible for community engagement, accountability to affected populations, programme delivery, information management, protection, health, cash, and emergency coordination. It is particularly valuable for teams introducing digital feedback channels or seeking to improve the quality and governance of existing mobile messaging services.
Course objectives
By the end of this course, participants will be able to:
- Configure a RapidPro workspace with contact fields, groups, user roles, and channel-ready data structures
- Build multi-step RapidPro flows using messages, rules, splits, results, timeouts, and automated responses
- Design informed-consent and opt-out journeys that apply data minimisation and safeguarding requirements
- Create feedback, complaints, and referral workflows with categorisation, escalation, and case-routing rules
- Segment contact lists and schedule targeted campaigns for locations, population groups, and programme stages
- Test a RapidPro flow using structured test cases, error logs, language checks, and response-path validation
- Export flow results and define monitoring indicators for reach, completion, response patterns, and unresolved cases
- Produce a RapidPro implementation pack containing a flow map, message library, escalation matrix, and launch plan
Benefits of attending
For you
- Build credible hands-on RapidPro experience through a completed humanitarian communication workflow
- Strengthen your ability to convert community engagement plans into operational messaging processes
- Gain practical evidence for roles involving AAP, CEA, digital engagement, and humanitarian information management
- Learn to identify consent, safeguarding, exclusion, and referral risks before a messaging service goes live
- Leave with reusable flow maps and testing templates that support stronger project design discussions
For your organisation
- Establish more consistent two-way communication workflows across response programmes and field locations
- Reduce safeguarding and data protection exposure through consent, opt-out, and escalation design controls
- Improve the speed of routing community feedback, complaints, and referrals to accountable focal points
- Generate more usable communication and response data for programme adaptation and management reporting
- Reduce rework by equipping staff to test and document RapidPro flows before operational deployment
Target competencies
Who should attend
- Community Engagement Officers — who design and manage communication and feedback channels with affected communities
- AAP and CEA Managers — who need accountable, safe, and measurable two-way engagement systems
- Humanitarian Programme Officers — who need to connect service delivery activities with timely participant communications
- Information Management Officers — who structure contact data, reporting fields, and operational dashboards
- Protection and Case Management Staff — who need safe referral and escalation pathways for sensitive incoming messages
- MEAL Officers — who collect response data and use feedback patterns to improve programme decisions
Requirements and prerequisites
This is a foundation-to-intermediate course and does not require prior RapidPro configuration experience or software development skills. Participants should understand the basic purpose of humanitarian community engagement, feedback and complaints mechanisms, and responsible handling of personal data. Familiarity with spreadsheets, such as Excel or Google Sheets, is expected because contact lists and flow results are prepared and reviewed in tabular form. A complete beginner should expect to build flows from first principles during the week. No coding, API integration, database administration, or prior experience with SMS gateways is required.
Training methodology
The course combines short instructor-led demonstrations with daily RapidPro build labs using a simulated humanitarian response. Participants configure contacts and fields, construct flows node by node, test multiple user paths, review anonymised feedback data, and troubleshoot common configuration failures. Small groups critique messages for clarity, inclusion, consent, and safeguarding implications before presenting their designs. Each day adds a component to an end-of-course communication service. The final workshop converts this build into a practical deployment plan with owners, approvals, testing steps, and monitoring arrangements.
Course outline
Day 1: RapidPro foundations for accountable communication
- RapidPro architecture: workspaces, channels, contacts, and flows
- Humanitarian use cases for two-way mobile communication
- Accountability to affected populations and communication channel selection
- Workspace navigation and user access roles
- Contact records, groups, URNs, and custom fields
- Contact list preparation and CSV import rules
- Consent, opt-out, and data minimisation principles
Workshop: Participants prepare a contact-data template and configure a RapidPro contact structure for a simulated flood response.
Day 2: Building clear and controlled messaging flows
- Flow canvas navigation and flow version management
- Send Message actions and message-length constraints
- Wait for Response actions and response capture
- Rules, splits, categories, and default paths
- Timeout handling and non-response follow-up
- Language selection and multilingual message pathways
