Course overview

Bank reconciliation problems rarely originate in the reconciliation screen alone. They arise when bank feeds are poorly configured, transactions are coded inconsistently, duplicate bills are entered, clearing accounts are ignored, or exceptions are written off without evidence. For finance professionals working in Xero, the result is delayed month-end close, unreliable cash positions, unreconciled control accounts and audit queries that consume time. This five-day course develops the practical Xero discipline required to maintain an accurate, reviewable set of books and resolve reconciliation issues before they become reporting risks.

Participants work through the full transaction-to-close process in Xero Accounting. They configure an organisation and chart of accounts, manage contacts and tax settings, process sales invoices, bills, credit notes and expenses, and use bank feeds, bank rules, cash coding and bulk reconciliation appropriately. The course places particular emphasis on investigating unreconciled items, handling transfers and payment fees, reconciling loans and clearing accounts, correcting coding errors, and producing reports that support management review and period-end controls.

Instruction combines guided demonstrations with individual work in a Xero training organisation using realistic transaction data. Participants complete daily reconciliation scenarios, diagnose exceptions from bank and ledger evidence, and build a month-end close workflow. They leave with a completed Xero practice file, a documented bank reconciliation workpaper, an exception-resolution log, and a practical checklist for applying consistent controls in their own finance function.

The course is best suited to accounting staff who already understand double-entry bookkeeping and need confident, operational command of Xero for day-to-day processing, reconciliations and month-end reporting. It is equally relevant to managers who need their team to reduce manual rework, protect the audit trail and deliver dependable cash and financial information.

Course objectives

By the end of this course, participants will be able to:

  • Configure a Xero organisation, financial settings, tax rates and chart of accounts for controlled transaction processing
  • Process sales invoices, bills, credit notes, spend money and receive money transactions using appropriate account coding
  • Set up and maintain Xero bank feeds, bank accounts and bank rules for repeatable transaction matching
  • Reconcile bank statement lines using match, create, transfer, cash coding and batch payment methods
  • Investigate unreconciled transactions by tracing bank evidence, source documents, account activity and reconciliation reports
  • Correct common reconciliation errors including duplicates, incorrect dates, mispostings, payment fees and bank transfers
  • Prepare bank reconciliation workpapers and exception logs that support month-end review and audit evidence
  • Produce Xero financial reports and apply a month-end close checklist to confirm ledger completeness

Who should attend

  • Accounts Assistants — who process supplier, customer and bank transactions and need to reconcile them accurately
  • Bookkeepers — who maintain multiple client or business ledgers and need a repeatable Xero reconciliation method
  • Assistant Accountants — who support month-end close and investigate bank-to-ledger differences
  • Accounts Payable Officers — who need to identify duplicate, unmatched and incorrectly coded supplier payments
  • Accounts Receivable Officers — who allocate receipts, resolve customer payment exceptions and maintain cash accuracy
  • Finance Managers — who supervise Xero users and need stronger reconciliation controls and review evidence

Requirements and prerequisites

Participants should have practical familiarity with double-entry bookkeeping, including debits and credits, sales and purchase transactions, VAT or sales tax, bank statements, and the purpose of a trial balance. Experience entering transactions in Xero or another cloud accounting package is helpful, but advanced Xero expertise is not assumed. Participants should be comfortable using a web browser and spreadsheet software to review transaction data. A personal Xero subscription is not required because a training organisation is provided. This is not a bookkeeping fundamentals course; complete beginners should first gain basic accounting knowledge before attending.

Training methodology

The instructor uses a Xero training organisation to demonstrate each workflow before participants apply it to realistic sales, purchasing and banking data. Hands-on exercises include configuring bank rules, processing source transactions, matching statement lines, resolving deliberately planted errors and reviewing reconciliation reports. Small-group case discussions focus on the judgement behind transfers, clearing accounts, payment fees and aged exceptions rather than simply clicking reconcile. The final workshop requires participants to complete a bank reconciliation pack and adapt a month-end close plan for their own role or organisation.

Course outline

Day 1: Xero setup and controlled transaction processing

  • Xero navigation, organisation settings and financial year configuration
  • Chart of accounts design and account-code conventions
  • VAT or sales tax settings, tracking categories and tax treatment
  • Contact records, payment terms and duplicate-contact controls
  • Sales invoices, repeating invoices and customer credit notes
  • Bills, purchase credit notes and expense transaction entry
  • Source-document attachment practices and Xero audit history

Workshop: Participants configure a training organisation and process a set of sales and purchase documents, producing a coded transaction register with supporting attachments.

  • Aged receivables and aged payables analysis for cash exceptions
  • Profit and Loss, Balance Sheet and Trial Balance reporting in Xero

Day 5: Applied Xero reconciliation workshop

  • End-to-end transaction-to-bank-reconciliation workflow
  • Cash position analysis from reconciled bank and ledger data
  • Reconciling credit card, loan and petty cash accounts

Frequently asked questions

Some exposure to Xero is helpful, but the course begins with the settings, transaction screens and reports used in the reconciliation process. You should already understand basic bookkeeping concepts such as debits, credits, invoices, bills, bank statements and VAT or sales tax.

A laptop is strongly recommended for classroom delivery and required for live online participation. A Xero training organisation and case data are provided, so you do not need access to your employer's Xero file or a personal subscription.

It is designed for accounts assistants, bookkeepers, assistant accountants and finance staff who process transactions and reconcile bank accounts in Xero. Finance managers responsible for reviewing reconciliations and improving close controls will also benefit.

This course assumes participants understand core bookkeeping and concentrates on operational Xero use, bank-feed workflows, reconciliation exceptions and month-end evidence. It goes beyond transaction entry by teaching how to investigate, correct and document differences.

You can apply the bank rule, matching, exception investigation and reporting methods directly to routine Xero work. The reconciliation workpaper, exception log and close checklist can be adapted to your organisation's review process.

You will leave with a completed Xero training case, a bank reconciliation workpaper, an exception-resolution log and a month-end close checklist. These outputs provide a usable model for structuring reconciliations and review evidence in your own finance function.
