Course overview

Uncontrolled labels, duplicate terms, inconsistent metadata and unclear ownership make knowledge difficult to find, trust and retain. The consequence is not simply poor search: teams recreate work, retain records inconsistently, expose sensitive information through weak classification, and lose organisational context when people leave. This course addresses the governance decisions behind a sustainable enterprise taxonomy—what terms mean, who may change them, how they connect to records controls, and how adoption is measured across business functions.

Participants design and govern controlled vocabularies, hierarchical taxonomies, faceted classification schemes and concept relationships using recognised semantic and records-management principles. They learn to define taxonomy scope, conduct term harvesting and card sorting, write naming and synonym rules, model metadata, map retention categories, establish stewardship roles and run a taxonomy change-control process. The course also covers SKOS concepts, information architecture patterns, search relevance implications, taxonomy quality measures and the governance controls needed for platforms such as Microsoft Purview.

Instruction combines expert-led analysis with structured design workshops, governance simulations and review of realistic knowledge and records scenarios. Participants work from a supplied organisational case or their own environment to produce a taxonomy governance blueprint containing a domain model, sample taxonomy, metadata crosswalk, ownership model, change workflow and adoption measures. The blueprint can be taken back to a knowledge-management, information-governance or records programme as an implementation starting point. Participants who complete the five-day course receive a certificate of completion.

Requirements and prerequisites

Participants should understand the purpose of metadata, records classification, retention schedules and enterprise search, and should have experience working with business content, information governance or knowledge-management processes. Familiarity with hierarchical folders, SharePoint term sets, content types, Microsoft Purview labels or a comparable content platform is useful, but configuration expertise is not assumed. Participants should be able to interpret a business process and discuss information ownership with stakeholders. No coding, RDF programming, ontology-engineering background or prior use of Protégé is required; semantic concepts are taught through practical taxonomy examples.

Training methodology

The course is delivered through instructor-led briefings, worked taxonomy critiques and hands-on design studios. Participants analyse a realistic enterprise scenario containing inconsistent document labels, overlapping records categories and weak search behaviour, then apply term harvesting, facet design, metadata mapping and governance decision tools. Small groups conduct a mock taxonomy council meeting, assess proposed term changes and resolve ownership conflicts. Each day adds a section to an individual or team governance blueprint, culminating in a peer-reviewed implementation and measurement plan for workplace application.

Frequently asked questions

You should understand basic metadata, records classification or knowledge-management processes and be comfortable discussing business content with stakeholders. You do not need ontology-engineering, coding or semantic-web experience; SKOS and related concepts are applied through practical examples.

A laptop is recommended for the design workshops and for adapting the supplied templates to your own context. The course demonstrates Microsoft Purview concepts, but you do not need administrator access to Purview, SharePoint or any production system.

It is designed for professionals already responsible for knowledge structures, records classification, metadata, enterprise search or information governance. It is particularly valuable for people asked to establish ownership and controls around an existing taxonomy rather than merely build a list of terms.
