Course overview
Agiloft CLM can only deliver reliable contract control when its configuration reflects the organisation’s approval routes, clause rules, data model, security requirements and reporting needs. Contract operations teams often inherit inconsistent record types, manually maintained fields, unclear user permissions and reports that cannot answer basic questions about cycle time, renewal exposure or approval bottlenecks. This course addresses the practical administration work required to turn Agiloft CLM into a controlled operational system rather than a document repository.
Participants configure and maintain core Agiloft CLM capabilities: contract record types, custom fields, linked tables, forms, layouts, lifecycle workflows, approval rules, notifications, user groups and role-based access. They learn to create clause and template controls, set up obligation and renewal tracking, build saved searches, and produce operational dashboards and reports. Reporting work includes selecting meaningful contract metrics, applying filters and grouping, scheduling report distribution, exporting governed data to Microsoft Excel, and preparing data suitable for Power BI analysis.
The five-day programme combines instructor demonstration with guided configuration in a sandbox environment based on a realistic contracting scenario. Participants build a working administration design for a contract process, including a data dictionary, workflow map, security model, report pack and configuration test checklist. They leave with reusable artefacts that can be adapted for their own Agiloft CLM instance, plus a prioritised 90-day improvement plan for administration, reporting and governance.
The course is best suited to professionals who already work with contract records or support a CLM platform and now need to configure, govern or report from Agiloft with greater confidence. It is equally valuable to managers seeking clearer ownership, auditable controls and decision-ready contract data.
Course objectives
By the end of this course, participants will be able to:
- Configure Agiloft CLM contract record types, custom fields, linked tables and form layouts for a defined contract process
- Map a contract lifecycle into workflow states, automated actions, approval routes and escalation rules
- Design role-based access using Agiloft user groups, permissions and field-level visibility controls
- Build clause, template and document-generation controls that support approved contracting content
- Set up obligation, renewal and notice tracking with ownership, reminders and exception monitoring
- Create saved searches, operational reports and dashboards for cycle time, workload, expiry and approval analysis
- Export governed contract data to Microsoft Excel and prepare report datasets for Microsoft Power BI
- Produce an Agiloft CLM administration pack containing a data dictionary, workflow specification, security matrix and test checklist
Benefits of attending
For you
- Gain practical evidence of Agiloft CLM administration capability through a completed configuration and reporting portfolio
- Become able to diagnose whether a contract process issue originates in data design, workflow logic, permissions or reporting
- Build confidence to brief internal stakeholders and implementation partners using precise Agiloft configuration terminology
- Develop a repeatable method for converting contract policy requirements into fields, controls, alerts and approval rules
- Strengthen readiness for CLM administrator, legal operations, contract operations and business systems analyst responsibilities
For your organisation
- Reduce inconsistent contract records by applying defined field standards, layouts and controlled data entry
- Improve auditability through documented workflows, approval evidence, permission design and configuration testing
- Surface renewal, notice and obligation risk earlier through ownership rules, alerts and exception reports
- Give legal, procurement and leadership teams more reliable cycle-time, workload and contract portfolio reporting
- Lower dependence on external configuration support by developing in-house Agiloft administration capability
Target competencies
Who should attend
- CLM Administrators — who configure Agiloft fields, workflows, permissions and user support
- Contract Managers — who need dependable visibility of contract status, obligations, renewals and approvals
- Legal Operations Managers — who govern templates, clause controls, approval policies and platform adoption
- Procurement Operations Managers — who require consistent supplier contract processes and renewal reporting
- Business Systems Analysts — who translate contract process requirements into Agiloft configuration
- Reporting and Data Analysts — who need to extract, validate and present contract performance data
Requirements and prerequisites
Participants should understand the basic contract lifecycle, including intake, drafting, review, approval, signature, obligation management, renewal and close-out. They should be comfortable using a web-based business application, working with structured data fields and interpreting simple tables or spreadsheets. Prior exposure to Agiloft CLM as an end user, power user or support analyst is strongly recommended, as the course moves quickly into configuration and reporting. Experience with workflow design, Microsoft Excel formulas, SQL, programming or Power BI is not required. Access to a training sandbox is provided for exercises; participants do not need administrator access to their live production environment.
Training methodology
An instructor leads short configuration briefings followed by guided work in an Agiloft CLM sandbox. Each day uses a connected contract operations case: participants configure record structures, build a lifecycle workflow, apply security, establish document and obligation controls, then create reports from the resulting data. Pair reviews are used to test approval paths and challenge reporting assumptions. The final workshop requires each participant to assemble their administration pack and prioritise a practical 90-day plan for improvements in their own contract environment.
Course outline
Day 1: Agiloft CLM architecture and contract data design
- Agiloft CLM navigation, administrative areas and configuration hierarchy
- Contract lifecycle stages and operational data requirements
- Record types, tables and relationships for contract management
- Custom fields, field types and validation rules
- Form layouts, sections, conditional visibility and required-field logic
- Data dictionaries, naming conventions and controlled value lists
- Import readiness, data quality checks and duplicate-record prevention
Workshop: Participants model a supplier contract record type and produce a field-level data dictionary with validation and ownership rules.
Day 2: Workflow, approvals and automated contract control
- Workflow states, transitions and lifecycle governance
- Conditional routing based on contract value, category, risk and jurisdiction
- Approval groups, delegated approvals and sequential versus parallel routes
- Automated actions, task creation and status updates
