Course overview
Many project teams adopt Airtable to replace scattered spreadsheets, email-based status updates and disconnected task trackers, then find that their base becomes difficult to govern. Records are duplicated, ownership is unclear, views do not reflect decision needs, and automations create inconsistent notifications. This course addresses the practical design work behind a reliable Airtable project-management system: translating a delivery process into linked tables, controlled data structures, role-specific interfaces and measurable operating routines.
Participants learn to model portfolios, projects, workstreams, tasks, milestones, risks, decisions and resources in Airtable. They configure linked records, lookup and rollup fields, formulas, conditional views, interfaces, forms and automations to support intake, planning, execution, reporting and close-out. The course also covers permission design, data-quality controls, automation testing, dashboard metrics and integration patterns with tools such as Slack and Zapier. Attention is given to choosing the right level of complexity so that teams actually maintain the system.
The programme is delivered through instructor demonstrations, guided configuration labs and a sustained project case study. Each participant designs and builds a working Airtable project-management workflow for a realistic or live business scenario, including a data model, operating views, stakeholder interface, intake form, automation map and governance rules. They leave with a reusable base blueprint and an implementation plan that can be adapted for their own team.

Requirements and prerequisites
Participants should be comfortable with core project-management concepts such as tasks, milestones, dependencies, risks, owners, status reporting and project lifecycle stages. They should have used Airtable at least at a basic level, including creating or editing records, fields, views and filters. Experience with relational databases, formulas, automations, API calls or scripting is helpful but not required; these are taught through practical examples. Participants should bring a laptop and, where possible, a non-sensitive example of their current project workflow. No programming, SQL or prior Airtable certification is required.
Training methodology
The course combines short instructor-led design sessions with hands-on Airtable configuration throughout the week. Participants work from a project-delivery case study, progressively building tables, relationships, views, interfaces, forms, automations and reporting measures rather than completing isolated feature demonstrations. Group critiques test whether each design supports the needs of project managers, contributors and sponsors. The final day includes a workflow review and application-planning workshop, where participants document priorities, implementation risks, pilot scope and adoption actions for their own organisation.
Course outline
Day 1: Project workflow architecture and Airtable data modelling
- Assessing project-management process pain points and information gaps
- Defining portfolio, project, workstream, task, milestone, risk and decision entities
- Creating an Airtable relational data model and table architecture
- Configuring primary fields, single-select fields, dates, people fields and attachments
- Establishing linked-record relationships between project delivery objects
- Using lookup and rollup fields to surface cross-table project information
- Setting naming conventions, field descriptions and base design standards
Workshop: Participants model a project-delivery process and build the first version of a linked Airtable base containing projects, tasks, milestones and risks.
Day 2: Planning, execution and work management workflows
- Designing project intake and prioritisation workflows
- Building task decomposition structures and workstream ownership models
- Configuring dependency, due-date, priority and status fields
- Creating filtered, grouped and colour-coded execution views
- Applying Airtable formulas for schedule indicators and delivery health
- Using record templates for repeatable project and task creation
- Designing forms for work requests, risk submissions and project updates
Workshop: Participants configure an intake-to-delivery workflow with a request form, triage view, project template and team execution views.
Day 3: Interfaces, reporting and stakeholder visibility
- Identifying reporting needs for sponsors, project managers and delivery teams
- Building Airtable Interface Designer pages for portfolio oversight
- Configuring record-detail pages for project health, milestones and risks
- Using filters, selectors and permissions within interfaces
- Creating summary metrics with rollups, formulas and grouped records
- Designing exception reporting for overdue tasks and at-risk milestones
- Defining project status-reporting cadence and data-update responsibilities
Workshop: Participants build a sponsor-facing portfolio interface and a project-manager operating dashboard using their case-study data.
Day 4: Automation, integration and workflow governance
- Selecting suitable Airtable automation triggers and actions

- Designing approval and escalation workflows with record updates
- Testing automations for duplicate actions, timing failures and exception paths
- Connecting Airtable workflows to Slack and Zapier integration scenarios

- Establishing data-quality checks, audit routines and base change control
Workshop: Participants create and test an automated project escalation workflow, then document permissions and quality controls for the base.
Day 5: Implementation planning and workflow optimisation
