Course overview
Email and memo quality directly affects how quickly work moves, how decisions are understood, and whether commitments can be acted on. Professionals often lose time resolving vague requests, chasing missing information, correcting unintended tone, or explaining messages that bury the required action. This course addresses the practical writing situations that recur across organisations: requesting information, giving updates, escalating issues, documenting decisions, responding to complaints, and preparing internal memoranda that leaders can scan and trust.
Participants learn a repeatable process for planning, drafting, revising, and sending business emails and memos. They practise defining purpose, audience, action, and deadline before writing; using subject lines that support retrieval; structuring messages with the BLUF (Bottom Line Up Front) approach; writing clear requests and decision records; selecting an appropriate tone; and editing for concision, grammar, and plain language. The course also covers email threads, attachment references, confidential content, follow-up messages, and memo formats for recommendations, policy changes, incident summaries, and project decisions.
Delivery combines instructor-led demonstrations with guided rewrites of realistic workplace correspondence. Participants analyse examples, diagnose common problems, draft messages under time constraints, and give structured peer feedback using editing checklists. They complete a final writing portfolio containing revised emails, a decision memo, a reusable email-planning template, and a personal editing checklist that can be applied immediately at work.
The programme is suited to professionals who write regularly to colleagues, managers, customers, suppliers, or cross-functional teams and need a dependable foundation for producing messages that are concise, actionable, and professionally credible.

Requirements and prerequisites
This is a foundation-level course and no formal business-writing qualification is required. Participants should be comfortable using email, creating and saving documents, and reading routine workplace correspondence in English. Familiarity with Microsoft Outlook, Gmail, Microsoft Word, or Google Docs is useful because exercises use common functions such as subject lines, comments, tracked changes, and spellcheck. Participants should bring two or three anonymised examples of emails or memos they commonly write if organisational policy permits. No prior knowledge of grammar terminology, editing standards, rhetoric, or memo-writing conventions is assumed; complete beginners will learn the core process from first principles.
Training methodology
The instructor models each writing method on realistic emails and internal memos, then participants apply it in short drafting cycles. Exercises include rewriting weak subject lines, converting long updates into BLUF messages, clarifying requests and deadlines, and editing messages for tone and plain language. Small groups compare alternative drafts against a practical rubric, while the instructor provides targeted feedback on structure, wording, and reader impact. A final workplace simulation requires participants to prepare linked emails and a decision memo, followed by an application plan for their own recurring correspondence.
