Course overview
Unclear emails, overlong reports, vague action requests and poorly structured documents slow decisions and create avoidable rework. Professionals are often expected to write for senior leaders, customers, colleagues and suppliers without having a repeatable method for deciding what to say, how much detail to include, or how to make the required action unmistakable. This course addresses the practical workplace writing situations where clarity, tone, evidence and structure directly affect response times, approvals, customer confidence and operational risk.
Participants learn a disciplined process for planning, drafting, revising and proofreading business documents. They practise defining purpose and audience, using message maps, writing clear subject lines and openings, structuring information with headings and signposting, turning technical content into plain language, and making recommendations supported by evidence. The course covers emails, briefing notes, reports, proposals, meeting follow-ups and sensitive messages, with focused work on tone, concision, inclusive language and action-oriented requests.
Delivery is instructor-led and highly practical, using realistic workplace scenarios, peer review and facilitated editing clinics. Participants analyse weak examples, rewrite live documents, and receive structured feedback against a business-writing quality checklist. Throughout the week, each participant develops a workplace writing portfolio containing an improved email, executive briefing note, short report section, stakeholder message and personal editing checklist. They leave with reusable templates and a document-review method that can be applied immediately to current work.
This course is suited to professionals who already write regularly at work and need to produce clearer, more credible communication across functions and seniority levels. It is particularly valuable for staff whose writing influences decisions, records commitments, explains complex information or represents the organisation externally.
Course objectives
By the end of this course, participants will be able to:
- Apply a purpose-audience-action message map before drafting workplace communications

- Business Analysts — who translate analysis into clear requirements, findings and recommendations
- Team Leaders — who communicate priorities, feedback and operational decisions to varied audiences
- Operations Managers — who write procedures, incident updates and performance communications

- Technical Specialists — who must explain complex products, systems or risks to non-specialists
Requirements and prerequisites
Participants should be comfortable writing routine workplace emails and using standard document functions in Microsoft Word, including headings, comments, track changes and spelling or grammar checks. They should bring experience of communicating with colleagues, customers, suppliers or managers and be prepared to revise their own writing during the course. Familiarity with reports, proposals or briefing notes is helpful but not essential. No formal writing qualification, advanced grammar knowledge or specialist communications software is required. Complete beginners can attend, but should expect a practical intermediate pace focused on improving real workplace documents rather than basic keyboarding or English-language instruction.
Training methodology
The programme combines short instructor-led demonstrations with writing labs built around emails, briefings, reports and stakeholder communications. Participants diagnose weak documents, use message maps and the SCQA framework to plan revisions, then draft and edit in Microsoft Word using comments and track changes. Small-group peer reviews apply a shared quality checklist, while the facilitator provides targeted feedback on structure, tone, evidence and action requests. Each day closes with a workplace-based assignment, culminating in an individual portfolio and application plan for improving documents used in the participant’s role.
