Course overview

NGOs depend on accurate constituent records to steward donors, report responsibly to funders, mobilise communities and protect sensitive personal data. Yet many teams work around fragmented spreadsheets, duplicate contacts, inconsistent coding and donor histories that cannot be trusted at the point of engagement. This course equips development and operations professionals to use CiviCRM as a working donor and constituent management system: structuring records, standardising processes and producing usable information for fundraising and programme decisions.

Participants configure and use core CiviCRM functions for individual, household and organisational contacts; relationships; tags, groups and custom fields; contributions; memberships; events; activities; cases; email communications and reports. They learn to define a data model for an NGO, import and deduplicate records, build contribution pages, segment supporters, record donor interactions, create recurring gifts and generate management reports. Practical attention is given to consent, permissions, data quality controls and the operational handovers needed between fundraising, programme and finance teams.

Instructor-led demonstrations are followed by guided work in a CiviCRM training environment built around a realistic NGO scenario. Participants configure a donor database, import a cleaned contact file, set up a campaign and contribution workflow, build audience segments and produce reporting outputs. Requirements and prerequisites

Participants should be comfortable using web-based business systems, spreadsheets and CSV files, including filtering data and recognising common data-quality issues such as duplicates or missing values. Familiarity with NGO fundraising concepts—donations, pledges, campaigns, donor stewardship, consent and restricted funds—is expected. Prior hands-on use of CiviCRM is helpful but not essential; the course starts with navigation and core record structures before moving into configuration and reporting. Participants do not need programming, SQL, Drupal administration or prior database-design qualifications. Those responsible for a live system should bring a sanitised example of their current fields, reports or workflow problems.

Training methodology

The five days combine instructor-led CiviCRM demonstrations with individual configuration labs in a training sandbox. Each lab uses a fictional NGO with donor, volunteer, partner and beneficiary records, requiring participants to make operational choices rather than follow abstract clicks. Small groups review data-governance scenarios, map donor journeys and diagnose reporting gaps. Daily exercises build toward one integrated configuration workbook. On the final day, participants test their workflow against realistic tasks and convert their learning into a prioritised 90-day plan for their own CiviCRM environment.

Day 2: Data migration, quality control and contact management

Day 3: Donations, campaigns and donor stewardship workflows

Frequently asked questions

No prior CiviCRM use is required, but participants should understand basic NGO fundraising or constituent-management processes. The course begins with navigation and record structures, then moves quickly into configuration, imports, campaigns and reports.

A laptop is required for the hands-on labs, whether attending in a classroom or live online. A CiviCRM training environment is provided; participants should not use a live database or bring identifiable donor data into the course.
