Course overview
Projects often stall not because teams lack effort, but because work enters ClickUp inconsistently, owners are unclear, dependencies are invisible, and status updates live across comments, spreadsheets, and meetings. Project managers and operations teams need a workspace that reflects how work is actually approved, delivered, escalated, and reported—not a collection of loosely configured lists. This course addresses the practical challenge of turning ClickUp into a controlled planning and execution environment for recurring and cross-functional work.
Participants learn to design ClickUp hierarchies, task templates, custom fields, statuses, views, dashboards, and workload controls around a real operating model. They build project plans with milestones, dependencies, critical paths, and accountable owners; create intake forms and triage rules; and automate routine handoffs, notifications, task creation, and status changes using ClickUp Automations. The course also covers integration patterns with Slack, Zapier, and Make, plus governance decisions that prevent duplicate workflows, unreliable reporting, and uncontrolled automation.
Delivery combines instructor demonstrations with guided configuration labs using a realistic portfolio of projects, requests, approvals, and delivery teams. Each participant develops a ClickUp workspace blueprint and a working pilot workflow: hierarchy, fields, statuses, templates, automation rules, dashboard design, and implementation priorities. This gives attendees a practical artefact they can refine with their team after the course rather than a set of disconnected feature notes.
The course is suited to experienced project, programme, PMO, operations, and team leads who already understand basic project delivery and now need to standardise how work is planned and managed in ClickUp.

- Create reusable task templates, checklist templates, and project templates for repeatable delivery processes
- Develop intake forms and triage workflows that convert requests into prioritised, owned ClickUp tasks
- Configure ClickUp Automations for assignment, status changes, due-date actions, notifications, and task creation
- Construct dashboards using task, workload, calculation, and portfolio reporting cards for management decisions

Requirements and prerequisites
Participants should have practical experience of project or operational work, including tasks, owners, deadlines, milestones, dependencies, and status reporting. They should be comfortable navigating ClickUp at a basic level: opening tasks, using List or Board view, updating task details, and assigning work. Access to a laptop and a ClickUp account is required for exercises; a trial or training workspace is sufficient where organisational access is unavailable. Prior experience with ClickUp Automations, dashboards, Zapier, Make, APIs, or workspace administration is not required. This is not a beginner course in project-management fundamentals.
Training methodology
The instructor uses a single cross-functional delivery case throughout the week: incoming requests are assessed, converted into projects, assigned to delivery teams, monitored, and reported to sponsors. Short demonstrations of ClickUp configuration are followed by individual build labs in which participants configure hierarchy, fields, views, templates, forms, automations, and dashboards. Group reviews test design choices against governance and reporting requirements. On day five, participants present their pilot workflow, receive implementation feedback, and complete a prioritised 30-day application plan for their own workspace.

Day 1: Workspace architecture and project planning foundations
- ClickUp hierarchy design across Workspace, Space, Folder, List, and task levels
- Portfolio, programme, project, and business-as-usual work separation
- Custom statuses and status groups for controlled workflow progression
- Custom fields for priority, business value, risk, effort, and delivery ownership
- Task types, subtasks, checklists, relationships, and linked work
- List, Board, Calendar, Gantt, Timeline, and Workload view selection
- Permissions, sharing boundaries, and workspace naming conventions
Workshop: Participants map a business delivery scenario into a ClickUp hierarchy and produce a workspace architecture diagram with agreed statuses and fields.
Day 2: Building executable plans and reusable delivery structures
- Work breakdown structures using tasks, subtasks, and nested subtasks
- Milestones, start dates, due dates, duration estimates, and task scheduling
- Finish-to-start dependencies, blocking relationships, and dependency warnings
- Critical path interpretation in ClickUp Gantt view
- Assignee, watcher, team, and accountability design
- Task templates, checklist templates, and project template creation
- Workload capacity planning and resource-balancing decisions
Workshop: Participants build a dependency-linked project plan from a scope brief and produce a reusable project template with milestones, owners, and capacity checks.
Day 3: Intake, triage, and workflow automation
- ClickUp Forms for structured demand and service request intake
- Request categorisation and triage using custom fields and task routing
- Automation triggers, conditions, actions, and rule sequencing
- Automated assignment, watcher addition, and status transition rules
- Due-date, priority, and escalation automations for overdue work
- Task creation and checklist deployment from workflow events
- Automation testing, exception handling, and audit documentation
Workshop: Participants create an intake form and automated triage workflow that produces routed, prioritised tasks with documented test cases.
Day 4: Reporting, integrations, and operational control
- Dashboard design for delivery teams, project managers, and sponsors
- Task, calculation, workload, and portfolio dashboard cards
- Reporting measures for schedule health, overdue work, throughput, and workload
- Saved filters and views for operational reviews and exception management
- Slack notifications and collaboration patterns for ClickUp events
- Zapier and Make integration scenarios for cross-tool workflow orchestration
- Integration data ownership, failure monitoring, and duplicate-action prevention
Workshop: Participants build role-based dashboards and design an integration workflow that sends a ClickUp event to Slack through either Zapier or Make.
Day 5: Governance, adoption, and implementation planning
- ClickUp governance roles for workspace owners, administrators, template owners, and users
- Standards for hierarchy, status names, custom fields, templates, and automation naming
- Automation inventory management and change-control practices
- Data quality checks for dates, owners, mandatory fields, and closed work
- User adoption plans, onboarding guides, and working agreements
- Pilot selection, success measures, and phased rollout decisions
- Risk register and 30-day implementation roadmap development
Workshop: Participants present a complete ClickUp pilot blueprint and produce a 30-day rollout plan covering governance, adoption, automation, reporting, and success measures.
