Course overview
The reception desk is often the first live contact a customer, visitor, supplier or senior stakeholder has with an organisation. Reception professionals must manage arrivals, phone calls, email enquiries, access requests, complaints and interruptions while protecting confidentiality and maintaining a calm, professional tone. Small service failures—an unclear handover, a visitor left waiting, an inaccurate message or a defensive response to a complaint—can affect customer confidence and place pressure on operational teams. This course equips reception staff to make each interaction reliable, welcoming and appropriately controlled.
Participants learn how to identify visitor and caller needs quickly, structure professional conversations, set realistic expectations and route enquiries without losing ownership. They practise active listening, effective questioning, telephone etiquette, service recovery, de-escalation and concise written communication. The course also addresses front-desk-specific requirements including visitor management, data privacy, accessibility, security-sensitive requests, appointment coordination and consistent handovers between shifts. Participants use practical service tools such as contact records, escalation criteria, message templates and follow-up logs.
Delivery combines instructor-led demonstrations with reception scenarios, call simulations, role plays and group case reviews based on common workplace situations. Participants handle difficult visitors, delayed appointments, misdirected calls and service complaints, receiving structured feedback on language, tone, judgement and next actions. They leave with a completed Front Desk Service Playbook containing service standards, call and visitor scripts, escalation routes, message templates, a complaint-recovery checklist and a personal application plan for improving service at their own reception point.
The programme is suited to new and experienced receptionists, front-of-house coordinators and administrative professionals who represent their organisation in person, by phone and through shared inboxes.

Requirements and prerequisites
This is a foundation-to-intermediate course and is suitable for complete beginners to professional reception work. Participants should be comfortable using a computer, email and a web browser, and should be able to communicate in the working language of the course. Familiarity with basic calendar appointments, telephone systems or visitor sign-in procedures is helpful but not required. No prior customer service qualification, CRM experience, complaint-handling training or specialist software access is needed. Beginners should expect frequent role play, structured feedback and practical templates rather than theory-only instruction.
Training methodology
The course uses short instructor-led inputs followed by realistic front-desk practice. Participants work with visitor logs, message pads, appointment calendars, email templates and escalation matrices, then apply them in timed scenarios involving competing demands. Role plays cover walk-in visitors, difficult callers, delayed meetings, access-sensitive requests and complaint conversations; peers and the instructor provide observation-based feedback. Small groups analyse service failures and redesign the handover or recovery process. Each day adds material to an individual Front Desk Service Playbook, completed with a workplace application plan on day five.
