Course overview
HR administration breaks down when employee data, approvals, documents, and hand-offs are managed inconsistently. A missing right-to-work check, an unclear probation review date, an unrecorded contract amendment, or delayed payroll notification can create employee dissatisfaction, rework, compliance exposure, and weak management information. This course gives HR practitioners a disciplined operating model for managing the employee lifecycle from requisition support through exit, while maintaining accurate records and service standards.
Participants learn how to map and administer core lifecycle processes: recruitment administration, pre-employment checks, onboarding, employee records, absence and leave administration, contractual changes, performance-cycle support, employee queries, and offboarding. They practise using HR process maps, RACI matrices, document checklists, service-level measures, data-quality controls, and audit trails. The course also covers how HR teams use Excel, HRIS workflows, and standardised templates to manage deadlines, approvals, confidential information, and reporting.
Delivery combines instructor-led explanation with realistic HR administration cases, guided template reviews, small-group process design, and practical exercises using lifecycle scenarios. Participants build an Employee Lifecycle Administration Pack containing a process map, onboarding checklist, employee-records audit checklist, HR case log, escalation matrix, and offboarding control list. This is a working set of documents that can be adapted to their own organisation after the course.
The programme is suited to professionals who already work with HR processes or employee records and need a stronger, more consistent foundation in end-to-end administration. It is particularly valuable where an organisation is formalising HR operations, introducing an HRIS, improving employee service, or reducing avoidable compliance and payroll errors.
Course objectives
By the end of this course, participants will be able to:
- Map an end-to-end employee lifecycle process using swimlane diagrams, ownership points, and approval gates
- Create compliant employee-file checklists for contracts, right-to-work evidence, policy acknowledgements, and amendments
- Administer onboarding workflows using preboarding tasks, manager actions, system access requests, and probation milestones
- Maintain employee data accurately through effective-dating, source-document validation, change logs, and audit trails
- Apply confidentiality and data-minimisation controls when handling personnel records and employee queries
- Use an HR case log to record requests, categorise issues, track service levels, and escalate exceptions
- Calculate and monitor core HR administration measures including completion rates, turnaround times, absence data, and data-error rates
- Produce an Employee Lifecycle Administration Pack containing process maps, checklists, controls, and escalation routes
Benefits of attending
For you
- Gain a repeatable method for managing employee administration without relying on informal reminders or individual memory
- Build evidence of operational HR capability through a completed lifecycle pack that can support internal progression
- Improve confidence when identifying incomplete documentation, overdue actions, and cases requiring escalation
- Learn to explain HR administration controls clearly to managers, employees, payroll colleagues, and auditors
- Develop practical HRIS and spreadsheet habits that transfer to HR coordinator, officer, and people operations roles
For your organisation
- Reduce missed onboarding, probation, contract-change, and leaver actions through documented workflow controls
- Improve employee-data accuracy by introducing validation points, source-document checks, and change logs
- Lower compliance and audit risk through consistent personnel-file standards and traceable approvals
- Provide managers with clearer responsibilities and deadlines across routine employee lifecycle events
- Create usable baseline templates and measures for standardising HR service delivery across teams or locations
Target competencies
Who should attend
- HR Administrators — who manage employee records, documents, and routine lifecycle transactions
- HR Coordinators — who coordinate onboarding, changes, employee queries, and HR team workflows
- HR Officers — who need reliable controls for contracts, absence, probation, and offboarding administration
- People Operations Assistants — who support an employee-service model and need consistent case handling
- HR Shared Services Advisers — who process high-volume requests against service levels and defined escalation routes
- Newly appointed HR Generalists — who need practical operating discipline before taking broader advisory responsibility
Requirements and prerequisites
Participants should understand basic workplace HR terminology, including employment contracts, personnel files, onboarding, absence, probation, and employee confidentiality. Experience processing HR forms, responding to employee queries, maintaining records, or supporting a line manager is helpful; this is an intermediate course because it focuses on applying controls across connected lifecycle processes. Participants should be comfortable working with spreadsheets and standard office documents, particularly Microsoft Excel and Word. Access to an HRIS is not required, and no prior experience of Workday or SAP SuccessFactors is assumed. Employment-law expertise, payroll qualifications, and system-configuration skills are not required.
Training methodology
The course uses short instructor-led sessions to establish lifecycle controls, followed by hands-on work with realistic employee scenarios. Participants review sample contracts, forms, HRIS workflow screens, case logs, and personnel-file evidence to identify omissions and risks. Small groups map process ownership using RACI and swimlane tools, then test their designs against onboarding, absence, change, and exit cases. Each day closes with a practical output, and the final session converts these outputs into an implementation plan for improving one HR administration process at work.
Course outline

- The employee lifecycle as an HR service delivery model
- Swimlane process mapping for HR transactions
- RACI matrices for HR, managers, payroll, IT, and employees
- Control points, approvals, and segregation of duties
- Service-level agreements and turnaround-time definitions
- HR administration risk register design
- Document retention, confidentiality, and data-minimisation principles
Workshop: Participants map a new-starter process in swimlane format and produce a RACI matrix with control points and escalation owners.
