Course overview
Knowledge is often critical to delivery, safety, customer service and innovation, yet it remains dispersed across personal drives, legacy repositories, project teams and experienced employees. When people move roles, projects close or incidents recur, organisations can lose operational insight and repeat avoidable mistakes. This course addresses the practical challenge of establishing a knowledge management system (KMS) that is governed, measurable and aligned with ISO 30401:2018 rather than relying on informal knowledge-sharing initiatives alone.
Participants learn how to interpret ISO 30401 requirements and translate them into an implementable KMS. The course covers organisational context, leadership accountability, knowledge objectives, risk-based planning, knowledge processes, enabling technologies, competence, communication, documented information, performance evaluation and continual improvement. Participants gain practical skills in conducting gap assessments, defining knowledge domains, mapping critical knowledge flows, selecting controls, establishing governance roles, designing metrics and preparing an ISO 30401 implementation roadmap.
Instructor-led briefings are combined with structured workshops, evidence reviews and a running case study based on a knowledge-dependent organisation. Participants work with ISO 30401 clauses, ISO 30402 implementation guidance, a KMS gap-analysis checklist, stakeholder maps, process templates and audit-style evidence logs. By the end of the week, each participant leaves with a tailored ISO 30401 implementation pack: an initial gap assessment, scope statement, knowledge-risk register, KPI set, governance model and 90-day action plan. A certificate of completion is issued after the course.
The programme is designed for professionals responsible for knowledge, records, quality, transformation, operational excellence or information governance who need to lead or support a formal KMS implementation. It is particularly valuable where the organisation must retain critical expertise, improve reuse of lessons learned or demonstrate disciplined knowledge governance to senior leadership.
Course objectives
By the end of this course, participants will be able to:
- Interpret ISO 30401:2018 clauses and convert requirements into KMS implementation activities
- Conduct an ISO 30401 gap assessment using a clause-by-clause evidence checklist
- Define KMS scope, interested parties and knowledge objectives for a business unit or enterprise
- Map critical knowledge flows, repositories, owners and points of knowledge loss
- Build a knowledge-risk register with treatment actions for vulnerable operational knowledge
- Design KMS governance roles, decision rights and documented-information controls
- Develop performance measures, audit evidence and management-review inputs for a KMS
- Produce a phased ISO 30401 implementation roadmap with priorities, milestones and owners
Benefits of attending
For you
- Gain the ability to translate ISO 30401 clauses into a defensible KMS design and implementation plan
- Build credibility to advise executives on knowledge-loss risk, governance responsibilities and investment priorities
- Develop reusable gap-assessment and evidence-review techniques for KMS maturity reviews
- Learn to connect knowledge capture, lessons learned and records controls to operational performance
- Leave with a portfolio-quality implementation pack that can support a KMS leadership or governance role
For your organisation
- Creates a structured route from informal knowledge-sharing activity to an ISO 30401-aligned management system
- Reduces exposure to expertise loss by identifying critical knowledge, ownership gaps and weak transfer points
- Improves reuse of lessons learned, procedures and specialist know-how across teams and locations
- Provides measurable KMS objectives, KPIs and management-review evidence for leadership oversight
- Strengthens audit readiness through clearer governance, documented information and continual-improvement controls
Target competencies
Who should attend
- Knowledge Management Managers — who must establish or improve a formal knowledge management system
- Information and Records Managers — who need to connect controlled information, retention practices and reusable organisational knowledge
- Quality and Integrated Management System Managers — who are extending ISO-based management systems into knowledge management
- Operational Excellence and Continuous Improvement Leaders — who need to prevent repeated failures and embed lessons learned in work processes
- Digital Transformation and Collaboration Platform Leads — who must align SharePoint or collaboration tools with KMS governance and user needs
- Internal Auditors and Compliance Managers — who need to evaluate KMS controls, evidence and continual-improvement arrangements
Requirements and prerequisites
Participants should have working experience in knowledge management, records or information governance, quality management, process improvement, operational delivery or a related management role. Familiarity with basic management-system concepts such as scope, policy, objectives, documented information, corrective action and internal audit is useful. Participants should be able to discuss their organisation’s repositories, key processes and knowledge risks. No prior ISO 30401 certification, auditing qualification, specialist data-science knowledge or software configuration experience is required. The course explains the standard and uses templates rather than requiring a pre-existing KMS.
Training methodology
The course uses instructor-led clause interpretation followed by application to a running organisational case. Participants analyse sample policies, knowledge repositories, incident reports and audit evidence to determine whether ISO 30401 requirements are met. Small-group workshops develop scope statements, knowledge maps, risk registers, governance matrices and KPI dashboards. The instructor facilitates peer review against ISO 30401 and ISO 30402 guidance, then supports each participant in adapting the tools to their own organisation. Day five concludes with a practical 90-day implementation planning session.
