Course overview
IT asset managers are expected to produce reliable answers to questions that often sit across disconnected systems: what technology the organisation owns, who uses it, whether it is licensed, how old it is, what it costs, and when it should be retired. Weak lifecycle controls create audit exposure, duplicate purchasing, unsupported hardware, unused software subscriptions, inaccurate CMDB data, and avoidable disposal risk. This course equips asset managers to establish an auditable operating model from demand planning and acquisition through deployment, optimisation, refresh, recovery, and secure disposal.
Participants work through the controls, data structures, and decision methods required to manage hardware, software, SaaS, and cloud-related assets as governed portfolios rather than inventory lists. They learn to define asset classes and lifecycle states; build a trusted asset register; reconcile procurement, discovery, CMDB, and financial records; establish entitlement and contract controls; calculate total cost of ownership; set refresh criteria; and measure performance through ITAM KPIs. The course also addresses ISO/IEC 19770-1 requirements, software asset management practices, licence compliance evidence, supplier handover controls, and disposal-chain documentation.
Delivery combines instructor-led modelling with practical exercises using realistic asset data, procurement records, contracts, discovery extracts, and lifecycle scenarios. Participants use templates and structured worksheets to diagnose data-quality gaps, design governance controls, prioritise optimisation opportunities, and produce management-ready reporting. Each participant leaves with an IT asset lifecycle management improvement plan, including a target lifecycle workflow, RACI, data-field baseline, KPI set, control register, and a 90-day implementation roadmap that can be adapted to their organisation.

Requirements and prerequisites
Participants should have practical experience managing, procuring, supporting, auditing, or reporting on IT assets in an organisational setting. They should understand basic IT service management concepts such as configuration items, CMDB records, incidents, changes, contracts, and purchase orders, and be comfortable working with spreadsheets containing asset data. Familiarity with an ITAM platform such as ServiceNow or Flexera is useful but not required. No programming, database administration, formal ISO certification, or prior software licence-audit experience is required. Participants should bring examples of their current lifecycle challenges if organisational policy permits.
Training methodology
The course uses short instructor-led briefings followed by structured workshops built around a realistic enterprise asset estate. Participants examine purchase orders, discovery extracts, CMDB records, contracts, licence evidence, and disposal certificates to identify control failures and data gaps. Guided exercises use lifecycle maps, reconciliation worksheets, RACI matrices, TCO models, and KPI scorecards. Small groups compare governance options for decentralised and centralised ITAM models. On the final day, each participant converts the methods into a prioritised 90-day implementation plan for their own environment.

Day 2: Asset data, discovery, and reconciliation controls

- Procurement-to-receipt matching using purchase orders, invoices, and goods-received records
- Discovery and inventory data ingestion from endpoint and network tools
- CMDB reconciliation rules and configuration-item relationship validation
- Exception management for orphaned, duplicate, stale, and unassigned records
- Data stewardship routines, sampling methods, and reconciliation evidence
Workshop: Participants reconcile a flawed asset dataset against procurement, discovery, and CMDB extracts and produce an exception log with remediation actions.
Day 3: Software, SaaS, and contract optimisation

Workshop: Participants build an effective licence position for a software publisher scenario and prepare a renewal recommendation supported by usage and entitlement evidence.
Day 4: Financial lifecycle management and risk control
- Total cost of ownership models for end-user devices and infrastructure assets
- Capital expenditure, operating expenditure, depreciation, and chargeback data requirements
- Refresh decision criteria using age, warranty, supportability, utilisation, and security exposure
- Demand forecasting and standard catalogue controls
- Asset recovery, redeployment, and residual-value assessment
- Secure sanitisation, chain of custody, and disposal certificate requirements
- Risk registers for audit exposure, unsupported technology, supplier dependency, and data loss
Workshop: Participants prioritise a device refresh and recovery portfolio using a TCO and risk-scoring model, then produce a budget justification.
Day 5: Performance reporting and implementation planning
