Course overview
Records teams often inherit M-Files vaults where document classes, workflows, permissions and retention rules have grown independently. The result is inconsistent classification, records that remain active beyond their business use, uncertain legal holds, and disposal decisions that cannot be evidenced during an audit. This course equips professionals to configure a controlled lifecycle in M-Files: from capture and declaration through review, retention, transfer or secure disposition.
Participants examine how M-Files metadata structures, object types, value lists, classes, properties, workflows, states and permissions work together to govern records. They build lifecycle models that reflect business events rather than folder locations, configure state transitions and state actions, apply retention triggers, design review and disposal approvals, and create audit-ready controls around access and change history. The course also addresses records classification, ownership, exception handling, legal holds and governance decisions using ISO 15489 principles.
Delivery combines instructor-led configuration demonstrations with guided work in an M-Files training vault. Each day uses a realistic records scenario, such as employee files, contracts or controlled operational records, requiring participants to diagnose configuration issues and implement a defensible solution. By the end of the week, each participant produces a records lifecycle configuration pack containing a metadata model, workflow map, retention schedule mapping, permission design, test cases and implementation actions for a selected business record series.

Requirements and prerequisites
Participants should have practical experience navigating an M-Files vault and understand core concepts including metadata, object types, classes, properties, value lists, workflows and permissions. Experience administering an M-Files vault, or working closely with an administrator, is strongly recommended because exercises use M-Files Admin configuration tasks. Participants should also be familiar with their organisation’s records categories, retention schedule or disposal approval process. No programming, API development, database administration or prior ISO 15489 certification is required. Those new to M-Files should first complete foundational user and administrator training before attending.
Training methodology
The instructor uses a configured M-Files training vault to demonstrate each design decision before participants build and test it themselves in M-Files Admin and M-Files Desktop. Short lectures connect records policy to platform controls; practical labs cover metadata, workflows, permissions, retention triggers and disposition evidence. Teams review a case organisation’s record schedule, resolve conflicting stakeholder requirements and peer-review each other’s lifecycle designs. The final session is an application-planning workshop in which participants refine their own configuration pack, implementation sequence and test approach.
