Course overview

Labour relations teams need reliable visibility of grievances, disciplinary matters, disputes, union issues, arbitration referrals and settlement actions without exposing sensitive employee information or losing critical deadlines. When case data sits in emails, separate spreadsheets and personal trackers, HR leaders cannot see ageing cases, recurring issues, upcoming hearings or workload by adviser. This course shows participants how to build an Excel-based case-tracking system that supports timely action, defensible reporting and controlled access to sensitive records.

Participants learn to structure a labour relations case register using Excel Tables, standardised case categories, data-validation lists and unique case identifiers. They build fields for parties, allegation or issue type, policy reference, assigned adviser, union involvement, case stage, hearing dates, statutory or internal deadlines, outcomes and follow-up actions. The course also covers formulas for ageing and deadline alerts, conditional formatting, PivotTables, charts, filters, Power Query data cleaning and dashboard design for monthly HR and management reporting.

Instruction combines guided demonstrations with progressive hands-on workbook builds using realistic labour relations scenarios. Participants clean an inconsistent case list, design a controlled intake sheet, create an action log, analyse patterns by location and issue category, and produce a manager-ready dashboard. Each participant leaves with a completed, reusable Excel labour relations case-tracking workbook containing a case register, lookup lists, deadline controls, PivotTable analysis and reporting dashboard, adapted through an end-of-course implementation plan.

The course is suited to HR and employee relations professionals who maintain case records or need dependable reporting from them. It is equally valuable for managers approving the training because it establishes a practical reporting structure that can reduce missed actions, improve case oversight and reveal recurring employee relations risks.

  • HR Business Partners — who need evidence of recurring workforce issues to advise leaders and managers
  • People Analytics or HR Reporting Analysts — who prepare case-volume, ageing and trend reports from sensitive HR data

Requirements and prerequisites

This is a foundation-to-intermediate course. Participants should be comfortable entering data in Microsoft Excel, saving and organising workbooks, using basic formulas such as SUM or COUNT, and working with rows and columns. Familiarity with the organisation’s grievance, disciplinary, dispute-resolution or employee relations process is useful because exercises use case stages, deadlines and outcomes, but specialist legal knowledge is not required. Participants do not need prior experience with PivotTables, Power Query, dashboards, macros, databases or HR information systems. A complete Excel beginner can attend, but should expect a concentrated first day covering workbook structure, Tables, formulas and controlled data entry.

Training methodology

The course is delivered through instructor-led Excel demonstrations, short skill drills and a continuous labour relations case-tracking scenario. Participants work with sample grievance, disciplinary, dispute and hearing records that contain inconsistent labels, missing dates and competing reporting needs. They build each workbook component themselves: the controlled case register, action log, lookup lists, ageing calculations, PivotTables and dashboard. Facilitated group reviews test whether fields, reports and alerts would work in actual employee relations workflows. The final session includes individual application planning for adapting the workbook to local policies, approval routes and data-handling controls.

Course outline

Day 1: Designing the labour relations case register

  • Labour relations case lifecycle: intake, assessment, investigation, hearing, outcome and closure
  • Defining a minimum case data set for grievances, disciplinary matters and disputes
  • Creating unique case identifiers and case-naming conventions
  • Building structured Excel Tables for secure, expandable case registers
  • Selecting fields for employees, representatives, managers, locations and assigned advisers
  • Classifying case type, issue category, policy reference and current stage
  • Applying practical data-minimisation principles to sensitive employee relations records

Workshop: Participants convert an unstructured employee relations case list into a standardised Excel Table with agreed fields, unique IDs and case-stage definitions.

Day 2: Controlling data entry and case actions

  • Creating lookup sheets for controlled case categories and status values
  • Using data validation drop-down lists to prevent inconsistent case coding
  • Configuring dependent lists for case type, issue category and outcome
  • Designing an action log for tasks, action owners, due dates and completion evidence
  • Using XLOOKUP to retrieve controlled reference values into case records
  • Applying COUNTIFS and SUMIFS to monitor workload and open actions
  • Protecting formulas, lookup lists and workbook structure from accidental changes

Workshop: Participants build a controlled case-intake sheet and linked action log that assigns owners, due dates and standard case classifications.

Day 3: Monitoring deadlines, ageing and case progress

  • Calculating case age from receipt date, opening date and closure date
  • Calculating days to hearing, review and follow-up deadlines
  • Using IF, IFS and TODAY formulas to assign deadline status
  • Creating conditional formatting rules for overdue and approaching actions
  • Tracking investigation, hearing, appeal and settlement milestones
  • Using filters, slicers and custom views to review active caseloads
  • Checking data quality through missing-field, duplicate-ID and invalid-date tests

Workshop: Participants create an ageing and deadline-monitoring view that flags overdue actions, incomplete records and hearings due within defined time bands.

Day 4: Analysing labour relations trends

  • Cleaning imported case data with Power Query
  • Standardising inconsistent issue labels, locations and outcome descriptions
  • Creating PivotTables for case volume by type, site, department and adviser
  • Analysing open cases and closed cases by age band
  • Comparing outcomes, appeal rates and resolution routes
  • Using PivotCharts to show monthly case trends and recurring issue patterns
  • Using slicers and timelines for interactive management analysis

Frequently asked questions

No. Participants need basic confidence entering data, navigating worksheets and using simple formulas. PivotTables, Power Query, dashboard design and deadline calculations are taught during the course.

Bring a laptop with desktop Microsoft Excel for Microsoft 365 or Excel 2021 or later, ideally with Power Query available. The course uses practical workbook exercises, so browser-only Excel is not recommended for the full experience.

Yes. The workbook methods apply to grievances, disputes, union consultations, mediation matters, appeals, investigations and other employee relations workflows. Participants can adapt the case categories and deadlines to their own policy environment.

This course starts with the structure and controls required for labour relations case records, including case stages, actions, hearings, outcomes and sensitive-data considerations. Excel techniques are taught through employee relations reporting problems rather than through generic sales or finance datasets.

You can standardise an existing tracker, introduce controlled drop-down categories, monitor case ageing and create regular reports on workload and trends. The workbook design also gives you a practical basis for specifying requirements to an HRIS or specialist case-management provider.

Participants leave with a reusable Excel workbook containing a case register, lookup lists, action log, deadline alerts, PivotTable analysis and management dashboard. They also leave with an implementation plan for adapting the tool to their organisation’s policies, data owners and reporting calendar.
