PMOs are increasingly expected to govern portfolios containing predictive projects, Agile product work and hybrid delivery initiatives without forcing every team into one planning model. This creates practical problems: senior leaders need comparable milestone, cost and capacity information; delivery teams need room to manage sprints and changing backlogs; and project managers must maintain schedules that expose dependencies without becoming disconnected from delivery reality. Microsoft Project can support this balance when it is configured around meaningful control points, shared calendars, resource data and reporting rules.
This course teaches participants to build and manage hybrid PMO plans in Microsoft Project Professional and Project Online. Participants create integrated schedules that combine stage gates, rolling-wave work packages, sprint cadence, releases, milestones and cross-team dependencies. They practise resource loading, baselining, critical-path analysis, progress updates, earned value measures, what-if scenarios and portfolio-level reporting. The course also addresses governance decisions: which work belongs in a detailed schedule, which Agile data should remain in team tools, and how a PMO can establish consistent status and change-control rules.
Delivery is instructor-led and built around a realistic portfolio case involving a business transformation programme with predictive, Agile and vendor-led workstreams. Each participant configures a Microsoft Project plan, builds a hybrid reporting view and tests schedule and resource impacts against defined PMO tolerances. They leave with a completed hybrid project plan, a baseline and tracking approach, a dashboard specification, and an application plan for adapting the method to their own organisation.
The course is designed for project professionals who already use Microsoft Project at a basic level and now need to make it useful within an Agile or hybrid PMO environment. It is equally relevant to managers approving training because the focus is on reliable decision data, transparent dependencies and repeatable planning controls rather than isolated software features.

Requirements and prerequisites
Participants should have practical experience creating and updating simple schedules in Microsoft Project, including entering tasks, durations, predecessors and resources. They should understand basic project-management concepts such as milestones, work breakdown structures, dependencies, critical path, risks and status reporting. Familiarity with Scrum terms including backlog, sprint, release and product increment is expected, although participants do not need to be Scrum Masters. Access to Microsoft Project Professional is helpful for post-course application, but no programming, Power BI development, Project Server administration or advanced earned value expertise is required.
Training methodology
The course alternates short instructor demonstrations with guided builds in Microsoft Project Professional. Participants work through a five-day transformation-programme case, configuring calendars, schedules, resources, baselines and reporting views as new Agile and predictive planning issues are introduced. Small-group workshops compare governance choices for sprint data, milestone control and dependency ownership. Daily exercises produce working plan components rather than isolated feature practice. On the final day, participants test a schedule-change scenario and complete an application plan that identifies the templates, data standards and reporting routines they will introduce at work.

Day 1: Hybrid PMO planning foundations

Workshop: Participants convert a transformation-programme charter into a structured Microsoft Project plan containing phases, releases, sprint windows and governance milestones.
Day 2: Dependencies, resources and capacity
- Finish-to-start, start-to-start and lag relationships
- Cross-workstream dependency mapping and dependency registers
- Resource types, rates, availability and individual calendars
- Resource assignments, units and effort-driven scheduling
- Resource leveling options and overallocation analysis
- Shared resource pools and PMO capacity assumptions
- Supplier tasks, external dependencies and contractual milestones
Workshop: Participants resource-load the programme plan, identify overallocations and produce a dependency and capacity exception log.
Day 3: Baseline and hybrid progress control
- Baseline selection and baseline governance rules
- Saving multiple baselines and interim plans
- Status dates, actuals and remaining-work updates
- Milestone, work-package and sprint-progress reporting methods
- Physical percent complete versus percent complete
- Earned value fields, planned value and schedule variance
- Change-control workflows for approved scope and forecast changes
Workshop: Participants baseline their plan, apply a simulated reporting period and produce a variance report distinguishing approved change from delivery slippage.
Day 4: Agile integration and PMO reporting
- Mapping product backlogs, sprints and releases to master-plan milestones
- Deciding the right level of Agile detail in Microsoft Project
- Custom fields, flags and lookup tables for hybrid status data
- Filters, groups and highlight filters for PMO exception reporting
- Timeline, Network Diagram and Gantt Chart views for different stakeholders

Workshop: Participants create executive, delivery-manager and PMO exception views from the same hybrid schedule and define the reporting cadence for each.
Day 5: Scenario planning and workplace application

Workshop: Participants run a disruption scenario through their completed plan and present a recovery recommendation, dashboard specification and 30-day implementation plan.
