Course overview
Public-sector portfolios frequently combine capital works, service transformation, donor-funded programmes and humanitarian interventions, each with different approval gates, funding restrictions, geographic delivery conditions and reporting obligations. Programme offices need more than individual Microsoft Project schedules: they need defensible portfolio views that show commitments, milestones, resource pressure, cost variance, benefits status and delivery risk across departments or implementing partners. This course addresses the practical challenge of converting project-level data into reliable decision packs for steering committees, senior responsible owners, funders and audit teams.
Participants build a structured approach to portfolio reporting using Microsoft Project Professional and Project Online. They learn to standardise schedules, calendars, work breakdown structures, custom fields, enterprise resources and baseline practices so that projects can be compared meaningfully. The course covers master projects, cross-project dependencies, portfolio milestone plans, cost and resource roll-ups, earned value indicators, status-date discipline, exception reporting and dashboard design. Participants also learn to prepare Power BI-ready data extracts and present delivery information against public-sector governance requirements, including transparency, value-for-money and benefits-realisation considerations.
Delivery combines instructor demonstration with guided configuration labs using a realistic public-sector portfolio case: a regional resilience and essential-services programme delivered through multiple agencies. Participants create a portfolio reporting model, build executive views, identify data-quality failures and produce a timed reporting pack. They leave with a reusable Microsoft Project portfolio-reporting template, a field dictionary, a reporting calendar and an action plan for implementing the approach in their own organisation.
The course is suited to professionals who already work with project schedules and now need to consolidate information across projects, programmes, grants or delivery partners. It is equally valuable for managers approving the training because it establishes repeatable reporting controls rather than relying on manually assembled spreadsheets.
Course objectives
By the end of this course, participants will be able to:
- Configure Microsoft Project custom fields, lookup tables and graphical indicators for portfolio-level status reporting
- Standardise work breakdown structures, calendars, milestones and baseline rules across public-sector projects
- Build consolidated master project views with linked subprojects and cross-project dependency controls
- Calculate schedule, cost, resource and earned value variances using status dates and approved baselines
- Create portfolio exception reports that highlight delivery, funding, resource and governance thresholds
- Produce executive portfolio dashboards and drill-down report views using Microsoft Project and Power BI data
- Design a reporting calendar, data-validation checklist and field dictionary for a programme management office
- Present a decision-ready portfolio reporting pack for a steering committee, funder or senior responsible owner
Benefits of attending
For you
- Gain a repeatable method for turning individual project schedules into credible portfolio evidence
- Build confidence explaining schedule and cost variances to senior public-sector governance audiences
- Develop practical Microsoft Project reporting artefacts that can support a PMO, programme office or portfolio analyst role
- Learn to identify unreliable status data before it reaches funders, boards or audit reviewers
- Leave with a portfolio reporting template and field dictionary that demonstrate applied capability to employers
For your organisation
- Create more consistent project data across departments, delivery partners and funded workstreams
- Reduce manual spreadsheet consolidation and the risk of contradictory figures in governance packs
- Give investment boards earlier visibility of delayed milestones, resource conflicts and forecast overruns
- Strengthen auditability through documented baselines, status-date rules, validation checks and exception thresholds
- Improve decisions on reprioritisation, corrective action and funding allocation with comparable portfolio measures
Target competencies
Who should attend
- Programme Managers — who need comparable evidence on delivery performance across multiple projects
- Project Management Office Managers — who establish reporting standards, assurance routines and portfolio controls
- Public Sector Project Managers — who must submit accurate schedule, cost and milestone data into central reporting
- Development Programme Coordinators — who consolidate implementing-partner plans, grants and donor commitments
- Portfolio Analysts — who turn project data into executive dashboards, exception reports and investment decisions
- Senior Responsible Owner Support Staff — who prepare governance papers for boards, committees and funders
Requirements and prerequisites
Participants should be comfortable creating and updating schedules in Microsoft Project, including tasks, dependencies, resources, calendars, baselines and basic views. Experience of reporting project status, such as actual dates, percent complete, remaining work or cost data, is expected. Attendees should also understand the difference between a project, programme and portfolio, and be able to work confidently with Excel-style tables. Access to Microsoft Project Professional is strongly recommended for practice. Prior Project Online, Power BI, earned value management or portfolio-office experience is not required; these are introduced and applied during the course.
Training methodology
An instructor leads short, focused demonstrations followed by hands-on configuration in Microsoft Project Professional and Project Online. Participants work with a public-sector case portfolio containing capital, service-delivery and donor-funded projects, including incomplete data and conflicting reporting practices. Individual labs cover fields, baselines, master projects, resource views and reports; small groups test reporting thresholds and design steering-committee messages. Each day closes with a practical artefact. On the final day, participants assemble their reporting pack and create an implementation plan for their own PMO, programme or department.
