Course overview
Administrative work depends on timely decisions, accurate records and clear ownership, yet many teams still manage requests through overloaded email inboxes, duplicate files and informal chat threads. Microsoft Teams can centralise meeting administration, approval routes, action tracking and document collaboration, but only when channels, permissions, naming conventions and supporting Microsoft 365 tools are designed deliberately. This course helps administrative professionals turn Teams from a messaging tool into a controlled operating space for executive support, office services, committees and cross-functional coordination.
Participants learn to structure teams and channels around business processes; configure posts, tabs, tags and notifications; run governed meetings; and capture decisions and actions using Microsoft Planner, Microsoft Lists and SharePoint Online. They practise creating request registers, approval-ready records, committee workspaces, document libraries and task boards that make status, ownership and deadlines visible. The course also addresses guest access, information handling, retention-aware file practices, meeting recording controls and practical etiquette that reduces channel noise without reducing accountability.
Delivery combines instructor demonstrations with realistic administrative scenarios, including executive meeting coordination, facilities requests and policy-document review. Each participant builds an Administrative Collaboration Workspace Blueprint: a documented Teams structure with channel purpose statements, membership rules, tab configuration, templates, task workflow, List schema and operating conventions ready to adapt for their organisation. The course is particularly valuable for experienced administrators, executive assistants, office managers and coordination leads who need to standardise how work moves across departments.
Course objectives
By the end of this course, participants will be able to:
- Design a Teams and channel architecture aligned to administrative services, committees and recurring business processes
- Configure channel posts, tags, notifications and moderation settings to route requests without creating unnecessary alerts
- Build meeting workflows using Teams scheduling, agendas, recordings, notes and action follow-up practices
- Create Planner boards with buckets, labels, due dates and ownership rules for administrative action tracking
- Develop Microsoft Lists registers for requests, decisions, assets or events using columns, views and validation choices
- Organise SharePoint-backed files with library structures, version history, co-authoring controls and permission-aware sharing
- Apply guest-access, file-sharing and information-handling practices to protect confidential administrative work
- Produce an Administrative Collaboration Workspace Blueprint with governance rules, templates and adoption actions

Target competencies
Who should attend
- Executive Assistants — who coordinate senior-leadership meetings, papers, actions and confidential follow-up
- Office Managers — who need one visible workspace for office services, suppliers, events and internal requests
- Administrative Managers — who standardise collaboration practices across administrative teams and service functions
- Business Support Coordinators — who track cross-department tasks, approvals, records and delivery deadlines
- Committee Secretaries — who manage agendas, meeting packs, decisions and action registers for governance groups
- Project Administrators — who maintain project documentation, meeting actions and stakeholder communications
Requirements and prerequisites
Participants should be regular Microsoft Teams users who can join meetings, send chat messages, upload files and navigate standard channels. Familiarity with Microsoft 365 concepts such as OneDrive links, shared files, Outlook calendars and basic permissions is useful. Participants should also understand the administrative processes they support, such as meeting coordination, request handling or action tracking. No programming, Power Automate development, Microsoft 365 tenant administration or advanced SharePoint configuration is required. The course explains governance choices from an administrator-user perspective rather than training participants to administer the organisation’s Microsoft 365 environment.
Training methodology
The instructor uses live Microsoft Teams demonstrations followed by guided configuration in a practice Microsoft 365 environment. Participants work through administrative cases: preparing a leadership meeting workspace, triaging service requests, coordinating a policy review and closing actions after an event. Small groups compare channel designs, permissions and notification choices against stated business requirements. Daily build exercises produce reusable components, while instructor feedback tests whether each setup supports accountability, confidentiality and adoption. The final session converts the completed workspace blueprint into a practical implementation plan for the participant’s own function.
