Course overview
Projects routinely produce decisions, risk responses, design rationale, stakeholder commitments, technical workarounds and delivery insights that disappear into personal folders, meeting notes or closed collaboration spaces. For project managers, this creates avoidable rework, weak handovers, disputed decisions and repeated mistakes on later projects. This five-day course provides a disciplined approach to capturing project knowledge and managing project records as usable organisational assets—not as an end-of-project archive exercise.
Participants learn how to define a project knowledge capture strategy, identify high-value knowledge at each lifecycle stage, and distinguish formal records from reusable lessons and working information. The course covers lessons-learned interviews, after-action reviews, decision logs, knowledge maps, taxonomy design, metadata, retention controls and approval workflows. Participants practise converting unstructured project experience into searchable, attributable and actionable knowledge products that can inform governance, future estimating, risk planning and delivery methods.
Delivery combines instructor-led analysis with realistic project scenarios, facilitated review sessions and hands-on template design. Participants work with examples of project registers, SharePoint libraries, structured lessons repositories and retention schedules, then test how information moves from a project team into a controlled organisational knowledge base. Each participant leaves with a tailored Project Knowledge Capture and Lessons Learned Plan, including a capture calendar, interview guide, lessons template, metadata fields, ownership model and implementation actions for their current or upcoming project.
The course is designed for project managers responsible for delivery assurance, project documentation, handover and continuous improvement. It is also valuable where projects operate across multiple teams, suppliers, locations or regulated records environments, and where leaders need evidence that lessons are being acted on rather than merely recorded.

Requirements and prerequisites
Participants should have practical experience working on, coordinating or managing projects and should understand common project artefacts such as risk registers, issue logs, meeting minutes, project plans and stage-gate reviews. Familiarity with a shared document repository, preferably Microsoft SharePoint or a similar platform, is helpful because exercises use folders, metadata and controlled documents. Participants should be able to discuss a current or recent project as a working example. Formal project-management certification, records-management qualification, database skills and prior knowledge of ISO 30401 are not required.
Training methodology
The course uses short instructor-led briefings followed by applied workshops based on a multi-phase project case. Participants analyse poorly captured project information, conduct a simulated lessons-learned interview, facilitate an after-action review and redesign a fragmented records repository using taxonomy and metadata. Small groups compare capture methods for agile, predictive and hybrid projects, while peer review tests whether records are searchable, attributable and actionable. Each day develops a component of an individual application plan, culminating in a project-specific knowledge capture and handover pack.

Day 1: Knowledge capture foundations for project delivery
- Project knowledge categories: tacit, explicit, procedural and decision knowledge
- Distinguishing project records, working documents, lessons and organisational knowledge assets
- Knowledge loss risks at mobilisation, phase transitions, handover and closeout
- Lifecycle-based knowledge capture points and governance gate triggers
- Stakeholder analysis for knowledge owners, users, approvers and custodians
- Knowledge mapping techniques for critical expertise and information dependencies
- Project knowledge capture strategy structure and accountabilities
Workshop: Participants create a knowledge map and capture calendar for a case-study project, identifying priority knowledge, owners and collection points.
Day 2: Capturing lessons from project experience
- Lessons-learned taxonomy: event, context, cause, lesson, recommendation and evidence
- After-action review structure and facilitation roles
- Structured interview techniques for extracting tacit project knowledge
- Root-cause analysis using Five Whys and fishbone diagrams
- Psychological safety and blame-free learning discussions
- Validating lessons with evidence, impact statements and applicability criteria
- Converting observations into assigned improvement actions
Workshop: Participants facilitate a simulated after-action review and produce a validated lessons-learned register from the case evidence.
Day 3: Project records, decisions and information control

Day 4: Building searchable and reusable knowledge repositories

- Confluence spaces, page templates and decision documentation practices
- Taxonomy design for project type, phase, discipline, risk and lesson applicability
- Search design using metadata filters, naming rules and controlled vocabulary

Workshop: Participants design a lessons repository blueprint with navigation, metadata fields, workflow states and search scenarios for their organisation.
Day 5: Embedding learning into governance and handover

- Escalating systemic lessons to standards, methods, policies and training owners

Workshop: Participants assemble and present a Project Knowledge Capture and Lessons Learned Plan with governance actions, templates, owners and a 90-day rollout schedule.
