Course overview
NGO finance teams must account for restricted grants, programme expenditure, cost allocations and donor reporting requirements without losing control of the general ledger. When QuickBooks is configured as a standard commercial accounting system, staff often struggle to distinguish restricted from unrestricted funds, trace expenditure to projects, reconcile advances, or produce reports that agree with donor budgets. This creates avoidable audit queries, delayed reports and weak management information for programme decisions.
This five-day instructor-led course teaches participants how to configure and use QuickBooks for NGO financial management, grant accountability and compliance reporting. Participants build an NGO chart of accounts, use classes, locations, customers and projects to track funds and activities, process restricted income and expenditure, allocate shared costs, manage advances, reconcile bank and cash accounts, and prepare budget-versus-actual reports. The course also addresses supporting-document controls, audit trails, month-end close procedures and mapping QuickBooks reports to common donor and statutory reporting formats.
Training combines guided QuickBooks demonstrations with realistic humanitarian and development-sector transactions, including multi-donor grants, field-office cash advances and programme cost allocations. Participants work through a case organisation and leave with a configured QuickBooks NGO finance workbook: chart of accounts, coding structure, grant-tracking design, sample transaction set, reconciliation checklist, month-end close checklist and donor reporting pack. This practical deliverable can be adapted for use in their own organisation.

Familiarity with QuickBooks navigation is helpful but not essential; the course introduces the relevant menus and workflows before applying them. Participants should be comfortable using spreadsheets for reviewing reports. Advanced QuickBooks certification, software administration experience, programming skills and prior donor-audit experience are not required.
Training methodology
The instructor uses a realistic NGO case organisation with restricted grants, multiple projects, field-office transactions and donor budget lines. Short demonstrations show the relevant QuickBooks workflow, followed by supervised individual exercises in which participants configure lists, enter transactions, run reports and investigate exceptions. Small groups review coding and allocation decisions against donor restrictions and internal-control requirements. Daily debriefs connect system entries to audit evidence and management decisions. On the final day, each participant completes an application plan and adapts the course templates to their own reporting environment.

Workshop: Participants configure the chart of accounts, classes, locations, customers and projects for a case-study NGO and produce a draft coding manual.
Day 2: Grant transactions and expenditure control
- Recording grant agreements, instalments and donor receivables
- Restricted income recognition and deferred-income treatment
- Entering supplier bills with grant, project and cost-category coding
- Processing staff reimbursements and programme expenditure claims
- Managing petty cash, mobile money and field-office cashbooks
- Recording staff advances, liquidations and outstanding balances
- Using attachments, notes and audit trails for supporting documents
Workshop: Participants process a month of grant receipts, procurement invoices, field cash payments and staff advances, then identify incomplete supporting evidence.
Day 3: Budgeting, allocations and project reporting

Day 4: Reconciliation, close and compliance evidence
