Course overview
Finance teams depend on QuickBooks Online data to close the books, explain performance, manage cash and support management decisions. Yet many users can enter transactions but cannot reliably diagnose posting errors, control the chart of accounts, reconcile clearing accounts, or turn raw reports into defensible financial statements. This course addresses the gap between routine QuickBooks Online use and accountable accounting ownership, helping participants produce accurate, review-ready information from the system.
Over five days, participants work through the full accounting cycle in QuickBooks Online: configuring company and accounting settings, designing a controlled chart of accounts, recording complex sales, purchasing, payroll and fixed-asset entries, managing bank rules, reconciling balance-sheet accounts, and correcting historical errors. They build and customise Profit and Loss, Balance Sheet, Cash Flow, AR ageing, AP ageing, budget-versus-actual and class or location reports. The programme also covers period-end close procedures, audit trails, user permissions, supporting schedules, report exports and variance analysis in Excel.
Instruction combines guided demonstrations in QuickBooks Online with realistic transactions, reconciliation workpapers, reporting workshops and peer review of close packs. Participants complete a five-day finance case based on a growing trading business and leave with a documented month-end close checklist, account-reconciliation template, reporting pack and action plan for improving their own QuickBooks Online environment. These deliverables can be adapted directly for use with their organisation's accounts.
The course is designed for accounting professionals who already understand double-entry bookkeeping and need stronger control, reporting and close capability in QuickBooks Online. Requirements and prerequisites
Participants should be comfortable with double-entry bookkeeping, including debits and credits, the purpose of the general ledger, accruals, prepayments, accounts receivable, accounts payable and bank reconciliations. Experience entering transactions and running standard reports in QuickBooks Online is strongly recommended; participants should know how to navigate a QuickBooks Online company and locate customers, suppliers and the chart of accounts. Basic Microsoft Excel skills, including sorting, filtering and simple formulas, are assumed. Prior audit experience, formal accounting qualifications, payroll expertise, or advanced Excel and Power BI knowledge are not required.
Training methodology
The instructor uses a guided QuickBooks Online training company to demonstrate each workflow before participants complete it themselves. Daily exercises use linked sales, purchasing, banking, payroll and adjustment transactions so that learners see their effect on ledgers and reports. Small-group review sessions test reconciliation evidence, journal support and management-report commentary against a realistic close scenario. Participants export selected reports to Excel for analysis, receive targeted feedback on their workpapers, and finish by adapting a month-end close and reporting plan for their own organisation.

Day 1: QuickBooks Online architecture and accounting control
- QuickBooks Online navigation, company settings and accountant tools
- Accounting method, fiscal year, tax settings and closing-date controls
- Chart of accounts design for statutory and management reporting
- Classes, locations, projects and products or services as reporting dimensions
- Opening balances and the opening balance equity account
- User roles, permissions and segregation of duties
- Audit log review and document attachment controls
Workshop: Participants configure a controlled QuickBooks Online company structure for a case-study business and produce an account-coding and access-control design.
Day 2: Transaction processing and ledger integrity
- Sales receipts, invoices, credit notes and customer deposits
- Bills, expenses, purchase orders and supplier credits
- Bank feeds, bank rules and duplicate-transaction prevention
- Credit-card transactions and clearing-account workflows
- Payroll posting principles and payroll liability account review
- Fixed-asset purchases, depreciation journals and disposal entries
- Accruals, prepayments and recurring journal entries
Workshop: Participants process a month of linked customer, supplier, banking, payroll and adjustment transactions, then review the resulting general ledger for coding issues.
Day 3: Reconciliations and period-end adjustments
