Course overview
Finance teams often have clean bookkeeping data in QuickBooks Online but still struggle to turn it into reliable management information. Month-end reports may be produced late, cash shortfalls may be identified only after payment runs, and managers may receive profit and loss statements without the balance-sheet, working-capital, or budget context needed to act. This course addresses that gap by showing participants how to structure QuickBooks Online data and reporting workflows for credible financial review, liquidity management, and decision support.
Participants learn to configure, customise, and interpret the core QuickBooks Online financial reports: Profit and Loss, Balance Sheet, Statement of Cash Flows, Accounts Receivable Ageing, Accounts Payable Ageing, Budget vs Actuals, and class, location, customer, and project reports. They build reporting packs that connect profitability, cash conversion, debtor exposure, supplier commitments, and forecast cash position. The course also develops practical skills in report filtering, custom fields, saved custom reports, Excel exports, variance analysis, bank-feed review, reconciliations, and using Power BI-ready data extracts for management dashboards.
Delivery combines instructor-led demonstrations in QuickBooks Online with guided report-building labs, realistic month-end cases, and peer review of management-reporting decisions. Participants work through a simulated business facing uneven collections, supplier payment pressure, and budget variance. By the final day, each participant produces a reusable financial reporting and cash-flow pack containing report templates, a reporting calendar, cash-flow forecast model, exception checks, and a short management commentary suitable for use in their own organisation.
The programme is designed for accounting and finance professionals who already use QuickBooks Online and now need to own reporting quality, cash visibility, and management insight rather than simply process transactions.

Requirements and prerequisites
Participants should be comfortable navigating QuickBooks Online and understand routine bookkeeping entries for sales invoices, supplier bills, expenses, payments, bank feeds, and bank reconciliations. They should be able to read a basic Profit and Loss statement and Balance Sheet, and should understand the distinction between cash and accrual accounting. Familiarity with Microsoft Excel formulas, filters, and pivot tables is helpful because reporting data is exported for analysis. Participants need access to a laptop and, ideally, a QuickBooks Online test company or sample file. Prior Power BI experience, formal accounting qualifications, and advanced financial-modelling skills are not required.
Training methodology
The instructor demonstrates each reporting workflow in QuickBooks Online before participants reproduce it in a guided practice file. Short technical sessions cover configuration, report customisation, reconciliations, budgets, and exports; hands-on labs then apply these features to a simulated company’s month-end data. Participants work in small groups to diagnose a cash squeeze, defend payment and collection priorities, and draft management commentary from the evidence. Daily exercises build toward an individual end-of-course reporting pack and a practical implementation plan for the participant’s own reporting cycle.

Day 1: Reporting Foundations and Data Integrity
- QuickBooks Online reporting architecture and subscription-dependent report availability
- Cash versus accrual accounting methods in financial reports
- Chart of accounts design for meaningful financial analysis
- Classes, locations, customers, and projects as reporting dimensions
- Report period, comparison period, and fiscal-year configuration
- Bank-feed review and bank-reconciliation controls
- Balance-sheet account reconciliations and month-end exception checks
Workshop: Participants complete a month-end data-quality review and produce a reconciliations and reporting-readiness checklist for a simulated company.
Day 2: Financial Statements and Management Reporting
- Customising Profit and Loss reports by month, class, location, and customer
- Reading gross margin, operating expense, and net-profit movements
- Balance Sheet analysis for liquidity, debt, retained earnings, and account anomalies
- Statement of Cash Flows interpretation and cash-versus-profit diagnosis

Workshop: Participants build a three-statement monthly management pack and write a one-page narrative explaining the key financial movements.
Day 3: Budgeting, Variances, and Performance Analysis

- Favourable and adverse variance calculation in Microsoft Excel
- Volume, price, mix, and timing explanations for operating variances

Workshop: Participants investigate a budget-overrun case, create a variance schedule in Excel, and recommend three corrective actions.
Day 4: Cash Flow and Working-Capital Control

- Accounts Receivable Ageing Detail and collections-priority analysis
- Accounts Payable Ageing Detail and supplier-payment scheduling
- Open invoices, open bills, recurring transactions, and committed cash outflows
- Rolling 13-week cash-flow forecast structure in Microsoft Excel
- Cash-conversion cycle and working-capital performance measures
- Scenario testing for delayed receipts, cost increases, and planned capital expenditure
Workshop: Participants build a 13-week cash-flow forecast from QuickBooks Online ageing reports and present a response to a projected cash shortfall.
Day 5: Dashboards, Controls, and Reporting Implementation
- Exporting clean QuickBooks Online report data to Microsoft Excel
- Preparing structured financial data for Microsoft Power BI
- Designing management dashboard measures for cash, profit, debtors, and budget performance
- Report-pack sequencing for executives, department managers, and owners
- Month-end reporting calendars, responsibilities, and review checkpoints
- Financial-reporting controls, audit trails, and access-permission considerations
- Action logs and escalation thresholds for reporting exceptions
Workshop: Participants finalise and present a reusable financial reporting and cash-flow pack, including a reporting calendar, dashboard specification, and implementation actions.
