Course overview
Finance teams often inherit Zoho Books organisations with inconsistent chart-of-accounts use, unreviewed bank feeds, duplicate expense claims, and month-end reports that cannot be traced back to approved source documents. This course addresses the operational gap between entering transactions and running a controlled accounting process. Participants learn how to configure Zoho Books for reliable day-to-day bookkeeping, manage employee and supplier expenditure, and produce management information that stands up to review.
The course covers organisation settings, fiscal periods, chart-of-accounts design, customers and vendors, items, sales and purchase transactions, banking, reconciliations, expense workflows, tax settings, journal entries, and reporting. Participants practise using Zoho Books features such as bank rules, recurring transactions, approval settings, document attachments, audit trails, report customisation, and the Zoho Expense integration. They gain practical methods for coding expenditure, resolving reconciliation exceptions, controlling user access, and preparing period-end reports.
Instruction combines guided system demonstrations with scenario-based work in a Zoho Books training environment. Each participant builds and operates a sample company file, processing a month of sales, purchases, employee expenses, bank activity, adjustments, and management reporting. They leave with a completed Zoho Books month-end close pack containing a configured chart of accounts, expense-control workflow, reconciliation checklist, journal support, and customised financial reports that can be adapted for their own organisation.
The programme is suited to accounting professionals who already understand basic bookkeeping and need to administer, improve, or audit accounting processes in Zoho Books. It is equally relevant to managers approving the training because it focuses on control points, evidence, timely reporting, and repeatable operating procedures rather than isolated software features.
Course objectives
By the end of this course, participants will be able to:
- Configure a Zoho Books organisation using appropriate fiscal, currency, tax, user-role, and approval settings
- Design a chart of accounts and item structure that supports accurate transaction coding and management reporting
- Process customer invoices, vendor bills, credit notes, payments, and recurring transactions in Zoho Books
- Reconcile bank and card accounts using bank feeds, matching rules, exception handling, and reconciliation reports
- Implement an expense-management workflow using Zoho Expense policies, receipt capture, approvals, and reimbursement controls
- Post adjusting journals and assemble supporting schedules for accruals, prepayments, depreciation, and period-end corrections
- Customise profit and loss, balance sheet, cash flow, ageing, and expense reports for operational decision-making
- Produce a documented Zoho Books month-end close pack with control checks, reconciliations, reports, and action log
Benefits of attending
For you
- Build evidence of practical Zoho Books administration capability beyond basic transaction entry
- Apply a repeatable method for resolving bank-reconciliation and coding exceptions at month-end
- Strengthen credibility when recommending expense controls, approval rules, and audit-trail improvements
- Create report packs that explain cash, overdue balances, expenditure, and profitability to non-finance managers
- Take away a configurable month-end close template for immediate use in an accounting role
For your organisation
- Reduce miscoded expenditure and duplicate claims through defined expense categories, policies, and approvals
- Shorten month-end close through bank rules, recurring transactions, reconciliations, and documented checklists
- Improve audit readiness with attachments, approval evidence, user permissions, and transaction audit trails
- Give managers more reliable visibility of cash flow, aged receivables, payables, and departmental spending
- Standardise Zoho Books operating procedures across finance staff, reducing dependence on informal workarounds
Target competencies
Who should attend
- Accounts Officers — who process invoices, payments, receipts, and reconciliations in Zoho Books
- Assistant Accountants — who support month-end journals, reporting, and control-account reviews
- Finance Managers — who need consistent workflows, approval controls, and dependable management reports
- Bookkeepers — who maintain client or in-house accounting records and need efficient Zoho Books procedures
- Accounts Payable Officers — who code supplier bills, manage payment status, and control purchase documentation
- Expense Administrators — who administer employee claims, policy checks, approvals, and reimbursements
Requirements and prerequisites
Participants should be comfortable with double-entry bookkeeping concepts, including debits and credits, sales and purchase invoices, bank reconciliation, accounts receivable, accounts payable, and basic financial statements. Prior use of Zoho Books is helpful but not essential; attendees should, however, be able to navigate web applications, upload files, and work with spreadsheets. Bring a laptop capable of using a modern web browser and Microsoft Excel or equivalent spreadsheet software. The course does not require prior programming, database administration, payroll expertise, or advanced financial modelling knowledge. It is not designed as a first introduction to bookkeeping.
Training methodology
An instructor leads live Zoho Books demonstrations, then participants complete each process in a structured training organisation. Exercises use linked sales, purchasing, banking, expense, and reporting scenarios so participants see how an early coding decision affects later reconciliations and statements. Small-group reviews focus on expense-policy exceptions, approval evidence, and month-end control failures. The final day is a supervised close workshop in which participants reconcile accounts, post adjustments, produce reports, and identify the configuration and process changes to apply in their own finance environment.
