Professionals often know their subject matter but lose clarity and influence when presenting, facilitating, or negotiating in Zoom. Attention drops when meetings lack structure; decisions stall when participants do not know how to contribute; and hybrid teams can misread tone, miss commitments, or leave without accountable next steps. This course addresses the communication practices that make Zoom meetings, workshops, briefings, and client conversations productive rather than merely convenient.
Participants learn to plan Zoom sessions around clear outcomes, open meetings with purpose and participation rules, use verbal and visual techniques that hold attention, and adapt communication for small groups, large audiences, and hybrid teams. They practise using breakout rooms, polls, chat, reactions, screen sharing, annotation, captions, Zoom Whiteboard, and meeting controls as communication tools rather than technical add-ons. The course also covers difficult conversations, decision facilitation, virtual presentation delivery, follow-up messaging, and inclusive practices for participants with different access needs and communication styles.
Instructor-led demonstrations are followed by recorded Zoom simulations, peer observation, facilitated case work, and targeted coaching. Participants review selected meeting recordings against a practical communication rubric and refine their delivery during the week. Each participant leaves with a reusable Zoom Meeting Communication Plan: a timed agenda, participation design, host settings checklist, facilitation script, decision log template, and personal action plan for an upcoming workplace session.
The course is designed for professionals who already attend Zoom meetings regularly and need to lead them with greater authority, clarity, and consistency. Training methodology
The course combines instructor-led demonstrations in Zoom Workplace with short communication briefings, individual practice, and facilitated group critique. Participants rotate through host, presenter, participant, observer, and breakout-room reporter roles so they experience the meeting from multiple perspectives. Case simulations include a project decision meeting, client briefing, hybrid team workshop, and difficult performance conversation. Selected practice sessions are recorded for rubric-based feedback on clarity, engagement, control, and follow-up. On day five, participants adapt the course methods to a real meeting they will lead after training.

Workshop: Participants redesign a poorly structured project meeting and produce a timed Zoom agenda with roles, outcomes, and decision checkpoints.
Day 2: Controlling the Zoom environment
- Configuring waiting rooms, passcodes, authentication, and participant permissions
- Assigning host and co-host responsibilities during live sessions
- Managing mute controls, rename requests, chat settings, and screen-sharing access
- Using gallery view, speaker view, focus mode, and multi-spotlight arrangements

- Preparing screen-sharing layouts, desktop notifications, and backup materials

Workshop: Participants configure and run a secure meeting launch sequence, producing a host settings checklist for a sensitive stakeholder session.
Day 3: Facilitating participation and decisions

- Using chat prompts and reactions to surface rapid stakeholder input
- Structuring breakout rooms with task briefs, roles, timeboxes, and report-back formats

- Capturing decisions, dissent, owners, and deadlines in a live decision log
Workshop: Teams facilitate a breakout-based prioritisation workshop and produce a completed decision log with agreed owners and due dates.
Day 4: Presenting and handling difficult conversations
- Using camera position, lighting, framing, eye line, and body language for credibility
- Controlling vocal pace, pauses, emphasis, and transitions in virtual delivery
- Building concise slide narratives for screen-shared presentations
- Combining PowerPoint slides, live demonstration, and verbal signposting
- Checking understanding with questioning ladders and teach-back prompts
- Addressing disagreement through acknowledgement, reframing, and evidence-based questions
- Conducting difficult Zoom conversations with privacy, empathy, and documented next steps
Workshop: Each participant delivers a five-minute Zoom briefing and responds to a challenging stakeholder question using the feedback rubric.
Day 5: Applying the method to workplace meetings
- Reviewing recorded practice against the Zoom communication rubric
- Identifying individual communication patterns and improvement priorities
- Adapting meeting design for executive briefings, client calls, team stand-ups, and virtual workshops

- Writing post-meeting summaries with decisions, owners, deadlines, and unresolved issues
- Creating escalation paths when decisions cannot be reached in the meeting
- Planning transfer actions and peer accountability after the course
Workshop: Participants facilitate a final workplace scenario and complete a personal Zoom Meeting Communication Plan for a real session they will lead.
