Course overview
Email is often the permanent record of a decision, request, escalation or commitment. Yet busy professionals routinely create avoidable delay through vague subject lines, buried actions, copied-in recipients who do not need to act, and messages that invite clarification rather than resolution. In Microsoft Outlook, poor message structure is compounded by unmanaged inboxes, missed follow-ups, inconsistent rules and weak handling of sensitive information. This course develops the judgement and Outlook practices needed to make email a reliable working system rather than a source of rework.
Participants learn how to analyse the purpose, audience, urgency and risk of an email before writing it; construct concise messages using actionable subject lines, logical sequencing and explicit calls to action; and choose appropriately between email, Teams, meetings and task assignment. They apply Outlook features including rules, Quick Steps, categories, flags, Search Folders, scheduling tools, templates and delayed delivery to control high-volume communication. The course also addresses difficult emails, stakeholder escalation, tone across cultures, executive correspondence, confidentiality and defensible email records.
Instruction combines facilitated analysis of realistic workplace email chains with individual Outlook configuration labs, peer review and timed rewriting exercises. Participants work from anonymised examples drawn from projects, customer service, operations and management communication. By the final day, each participant produces a personal Outlook communication system: folder and category structure, rules and Quick Steps, reusable message templates, a follow-up protocol and a 30-day implementation plan that can be applied immediately at work.

Requirements and prerequisites
Participants should use Microsoft Outlook for email on a regular basis and be comfortable sending messages, replying, forwarding, attaching files, using the calendar and managing a basic inbox. They should bring a laptop with access to Outlook for Windows or Outlook on the web within their organisation’s Microsoft 365 environment; a training tenant or demonstration environment can be used where live corporate access is unavailable. Familiarity with Microsoft Teams is helpful because channel-selection scenarios compare email with Teams. No advanced Outlook administration, VBA, Power Automate, records-management qualification or prior communication-skills course is required.
Training methodology
The instructor uses short demonstrations of Outlook features followed by guided practice in a live mailbox environment. Participants diagnose flawed email threads, rewrite messages for different stakeholder groups, configure Rules, Quick Steps, categories and Search Folders, and test their systems against a simulated week of incoming requests.
