Course overview
NGO leaders, programme teams, finance staff and donors need timely management information that links funding, delivery, results and risk. Yet reporting is often assembled manually from Excel trackers, accounting exports, beneficiary databases and partner submissions. This creates version-control problems, delays monthly reviews and makes it difficult to explain burn rates, geographic coverage, indicator progress or underperforming projects with confidence. This course equips participants to turn fragmented operational data into reliable Power BI reporting for portfolio, programme and grant-management decisions.
Participants build Power BI reports designed around NGO management questions: Which grants are overspending or underspending? Where are targets off track? Which locations, partners or projects require management attention? The course covers data preparation with Power Query, relational data modelling, DAX measures, KPI design, donor and management reporting layouts, drill-through analysis, row-level security and publication through the Power BI Service. Participants learn to combine programme indicators, budgets, actual expenditure, workplans, beneficiary data and risk registers while applying practical data-quality and safeguarding controls.
Delivery combines instructor demonstrations with hands-on work using realistic development and humanitarian reporting datasets. Each participant develops a management-reporting prototype containing a cleaned data model, core measures, interactive portfolio dashboard, programme-performance page and a documented refresh and governance approach. The final-day capstone requires participants to present findings and recommended management actions from their dashboard, mirroring a programme review or senior management meeting. Participants receive a certificate on completion and leave with a reusable reporting blueprint for their organisation.
The course is best suited to professionals who already work with NGO data and need to move beyond static spreadsheets into repeatable, auditable reporting. Requirements and prerequisites
Participants should be comfortable working with structured Excel tables and should understand common NGO reporting concepts such as projects, grants, budgets, actual expenditure, indicators, targets, reporting periods and disaggregation. Experience creating Excel formulas, pivot tables or routine programme reports is useful. Participants should have access to a Windows laptop capable of running Power BI Desktop and be able to install approved software before the course. Prior Power BI experience, DAX coding, database administration, statistical analysis and formal data-science training are not required. Participants will work with supplied datasets if organisational data cannot be used.
Training methodology
The five-day course uses short instructor-led demonstrations followed by guided Power BI build sessions. Participants work with a realistic NGO portfolio dataset containing grant budgets, actuals, indicator targets, beneficiary results, locations and partner records. Exercises progress from cleaning source files in Power Query to modelling data, writing DAX and designing executive reporting pages. Group critiques test whether dashboards answer management questions without obscuring risk or data limitations. The final capstone combines dashboard presentation, management-action recommendations and a practical plan for applying the approach to participants’ own reporting cycle.

Day 1: NGO reporting architecture and Power BI foundations
- Management questions for grants, programmes, portfolios and country operations
- NGO data sources including finance exports, indicator trackers, partner reports and risk registers
- Power BI Desktop interface, report views and data-loading workflow
- Defining reporting grains for transactions, targets, beneficiaries and project activities
- KPI dictionary design for burn rate, target achievement, coverage and implementation status
- Data-quality risks in beneficiary, partner and financial reporting data
- Responsible handling of personally identifiable and safeguarding-sensitive information
Workshop: Participants map a supplied NGO reporting pack into a source inventory, KPI dictionary and draft dashboard requirements for a monthly management review.
Day 2: Preparing NGO data with Power Query
- Importing Excel workbooks, CSV files and folder-based reporting submissions
- Power Query data types, profiling and error-detection tools
- Cleaning inconsistent project codes, donor names, locations and reporting periods
- Appending monthly finance and programme reporting files
- Merging grant reference tables with budget, expenditure and indicator datasets
- Creating reusable transformation steps and query parameters
- Documenting data lineage and transformation assumptions for reporting assurance

Day 3: Data modelling and DAX for performance analysis

Day 4: Designing management and donor reporting dashboards
