Course overview
Office administrators are often expected to bring order to shared policies, procedures, forms, meeting records and operational documents without a reliable control system. Files may sit across email, network drives, Teams chats and personal OneDrive folders; staff may use outdated templates; and no one can quickly confirm who approved a document, which version is current or when a record should be retained. This course shows how to use Microsoft SharePoint to establish practical document control for an office or business function.
Participants learn to plan and configure SharePoint document libraries for controlled use, including folder and metadata design, content types, document templates, version history, approval workflows, permissions and sharing rules. They practise creating views that help staff find the right document, setting alerts and notifications, managing check-in and check-out where appropriate, and applying retention labels and records-management principles. The course also addresses the working relationship between SharePoint, Microsoft Teams and OneDrive for Business so that document ownership and storage decisions are clear.
Teaching combines instructor demonstrations with guided configuration labs using realistic office scenarios such as a controlled policy library, departmental procedure register and approved-template repository. Participants complete a document-control design pack for their own team or a supplied case study: a library structure, metadata model, permission matrix, versioning rules, approval route and adoption checklist. This deliverable gives attendees a practical starting point for improving document governance immediately after the course.
The programme suits office professionals and operational managers who own business documents, coordinate administrative processes or support compliance requirements. It is focused on configuring and governing SharePoint content for business users rather than on SharePoint development, coding or server administration.
Course objectives
By the end of this course, participants will be able to:
- Design a SharePoint document library structure for policies, procedures, forms and controlled records
- Configure metadata columns, content types and managed views to classify and retrieve office documents
- Apply versioning, check-in/check-out and document status controls to prevent use of obsolete files
- Build approval workflows with Microsoft Power Automate for document review and publication
- Create a role-based permission matrix using SharePoint groups, inheritance and sharing settings
- Set up document templates, naming conventions and library defaults for consistent document creation
- Apply retention labels and records-management rules using Microsoft Purview concepts
- Produce a document-control design pack containing governance rules, ownership roles and implementation actions
Benefits of attending
For you
- Gain the ability to replace ad hoc shared-drive filing with a controlled SharePoint library design
- Build evidence-based confidence when advising colleagues on document ownership, access and approved versions
- Develop a reusable permission matrix and governance checklist for future office document repositories
- Improve credibility for office management, business support and document-control responsibilities
- Return with a practical design pack that can be discussed with IT, compliance teams and business owners
For your organisation
- Reduce staff time spent searching for current policies, forms, procedures and approved templates
- Lower the risk of employees acting on superseded documents through versioning and publication controls
- Create clearer accountability for document owners, reviewers, approvers and site administrators
- Improve audit readiness with consistent metadata, approval evidence, access rules and retention practices
- Establish a repeatable SharePoint document-control model that can be adapted across departments
Target competencies
Who should attend
- Office Managers — who need reliable control of departmental policies, forms and administrative records
- Executive Assistants and Personal Assistants — who maintain leadership documents, meeting records and approved templates
- Document Controllers — who must manage revisions, approvals, access and distribution of controlled documents
- Business Support Managers — who standardise document practices across administrative teams
- Quality and Compliance Coordinators — who need auditable evidence of document review, approval and retention
- SharePoint Site Owners — who administer business sites and need practical governance for document libraries
Requirements and prerequisites
This is a foundation-to-intermediate course and does not require SharePoint administration, coding or Microsoft 365 certification. Participants should be confident using Windows or macOS, web browsers, Microsoft Word and Excel, and common file operations such as saving, renaming and sharing documents. Familiarity with Microsoft Teams or OneDrive for Business is useful but not essential. Complete beginners should expect to learn SharePoint terminology, navigation and library configuration from first principles before moving into permissions, workflows and retention controls. A Microsoft 365 work account is helpful for applying learning after the course, but a training environment is provided.
Training methodology
Each day combines instructor-led explanation of document-control decisions with live demonstrations in Microsoft SharePoint Online. Participants configure libraries, columns, views, permissions and workflow steps in a guided training tenant, then test their setup against realistic office scenarios involving policies, templates and departmental records. Small-group reviews examine alternative folder, metadata and access models before participants refine their own design choices. Daily exercises build toward an end-of-course document-control design pack and a prioritised implementation plan for the participant’s workplace.
