Course overview
NGO HR managers must recruit quickly without weakening safeguarding checks, administer contracts across grants and locations, resolve employee relations issues fairly, and maintain records that satisfy donors, auditors and labour authorities. These pressures intensify where programmes rely on national staff, fixed-term project contracts, surge personnel and partners. This course addresses the practical HR systems needed to protect people, sustain programme delivery and give managers reliable workforce information rather than reactive personnel administration.
Participants build an NGO-specific HR management toolkit covering workforce planning, role design, competency-based recruitment, employment documentation, onboarding, performance management, learning plans, remuneration structures, staff wellbeing, grievance handling and exit management. The course places safeguarding, prevention of sexual exploitation and abuse (PSEA), equity and inclusion at the centre of HR decisions. Participants practise applying local labour-law principles alongside organisational policy, donor expectations and humanitarian standards, and learn how to document decisions that may later be reviewed.
Delivery combines instructor-led models with realistic HR cases: a rapid recruitment request, a performance concern in a field office, a safeguarding allegation referral, a contract extension decision and a restructuring scenario. Participants work with practical templates, including a recruitment scorecard, personnel-file checklist, performance improvement plan, HR risk register and workforce dashboard. Each participant leaves with a tailored 90-day NGO HR improvement plan and a set of adapted templates ready to use in their organisation.

Requirements and prerequisites
Participants should have basic workplace experience in HR, operations or line management and be familiar with common HR documents such as job descriptions, employment contracts, leave records and performance reviews. They should understand the purpose of organisational policies and be prepared to discuss their own NGO’s staffing structure or current HR challenges. Basic Microsoft Excel skills, including entering data and using simple filters, are useful for workforce and HR-metric exercises. No prior humanitarian deployment, HR certification, legal qualification or experience with a formal HR information system is required. Complete beginners should expect a practical foundation before progressing to case-based application.

The instructor uses short, decision-focused teaching sessions to introduce NGO HR models, then moves participants into practical application. Teams analyse a country-office staffing case, score candidate evidence against a competency matrix, audit a simulated personnel file, conduct a performance conversation and map a grievance-handling pathway. Exercises use NGO-style policies, grant-funded staffing scenarios and safeguarding controls rather than generic corporate examples. Facilitated peer review tests whether each solution is fair, documented and operationally realistic. On the final day, participants convert the learning into an individual 90-day HR implementation plan.
