Field monitoring teams often lose time and confidence in their data because paper forms are unclear, mobile questionnaires accept invalid entries, skip logic is inconsistent, and supervisors discover errors only after enumerators have returned from remote locations. For development and humanitarian programmes, these weaknesses can distort indicator reporting, delay corrective action, and create avoidable safeguarding, consent, and data-protection risks. This course equips M&E professionals to design ODK Collect forms that work reliably under real field conditions: intermittent connectivity, multilingual respondents, sensitive questions, repeated visits, GPS capture, and device-level validation.

Participants learn to translate an indicator reference sheet, monitoring plan, or field questionnaire into a structured XLSForm for deployment in ODK Collect. They build question types, choices, relevance logic, constraints, required fields, calculations, groups, repeats, media prompts, external item lists, and metadata capture. The course also covers form versioning, testing workflows, user-friendly error messages, mobile usability, data minimisation, and publication through ODK Central. By the end of the week, participants can diagnose common form failures and make informed design decisions that protect data quality without overburdening enumerators or respondents.

Delivery combines instructor demonstrations, guided spreadsheet builds, Android device testing, peer review, and realistic monitoring scenarios from humanitarian and development programmes. Participants progressively develop a field-ready monitoring form rather than completing disconnected exercises. Requirements and prerequisites

Participants should understand the purpose of indicators, basic questionnaires, and routine field monitoring in a development, humanitarian, public-sector, or research setting. They should be comfortable working in spreadsheets, including entering data, using rows and columns, and saving CSV or Excel files. Prior experience with ODK Collect, XLSForm, or ODK Central is not required; these tools are taught from the ground up. Programming, SQL, statistical analysis, and Android administration are not required. Participants should bring an Android phone or tablet if possible, plus a laptop able to run a current web browser and spreadsheet software.

Training methodology

The instructor uses short technical demonstrations followed by guided builds in XLSForm and ODK Collect. Participants work from a realistic monitoring scenario, such as a household follow-up, site-monitoring visit, or post-distribution monitoring exercise, and test each form feature on Android devices. Peer review sessions focus on ambiguous wording, logic gaps, respondent burden, and validation risks. Small groups troubleshoot deliberately flawed forms, then apply a final pilot protocol to their own capstone form. The week closes with an implementation-planning clinic for rollout, enumerator briefing, and version control.

Day 1: From monitoring requirements to mobile form structure

  • ODK Collect, XLSForm, and ODK Central architecture

Workshop: Participants convert a monitoring indicator matrix into a first-pass XLSForm specification with questions, response types, and required metadata.

Day 2: Logic, validation, and controlled responses

Day 3: Complex field workflows and mobile usability

  • Geopoints, images, audio, and file capture settings
  • Multilingual labels and language-switching design
  • Relevant media prompts and mobile screen layout choices

Workshop: Participants create a site-monitoring form with a repeatable observation checklist, GPS capture, photo evidence, and multilingual prompts.

Day 4: Publishing, testing, and controlled form release

  • Test cases for paths, constraints, repeats, and calculations

Workshop: Participants publish their draft form to a training ODK Central project, run a scripted Android test, and log defects in a form test register.

Day 5: Field-ready form design and implementation planning

  • Enumerators' workflow, training notes, and help-text design
  • Data-quality monitoring through metadata and submission review

Workshop: Participants present a tested capstone monitoring form, receive a peer quality review, and complete a deployment plan with pilot, training, and version-control actions.

Frequently asked questions

No prior ODK experience or programming is required. You should understand basic monitoring questionnaires and be comfortable editing a spreadsheet, because form authoring is carried out in XLSForm.

Bring a laptop with a current web browser and spreadsheet software such as Microsoft Excel or LibreOffice Calc. An Android phone or tablet is strongly recommended for live testing in ODK Collect, although training devices may be available for classroom participants.

It is designed for M&E, programme, assessment, field coordination, and information-management staff who design, commission, test, or supervise mobile monitoring forms. It is most useful where teams collect data offline or across dispersed field locations.

This course does not teach M&E theory in broad terms; it focuses on converting existing indicators and monitoring requirements into working ODK Collect forms. The technical emphasis is on XLSForm logic, validation, repeats, mobile usability, testing, and deployment.

You can use the methods to rebuild paper tools, improve an existing ODK form, prepare a pilot form for a new activity, or review a consultant-built questionnaire. The testing checklist and release workflow can also be adopted as a team standard.
