Course overview

Oil and gas organisations lose operational knowledge when experienced drilling, production, maintenance, subsurface, and project personnel retire, transfer, or rotate offshore. Critical decisions can become trapped in email, personal drives, shift notebooks, vendor documents, and poorly indexed repositories. The result is repeated troubleshooting, weak handovers, inaccessible lessons learned, audit exposure, and avoidable risk when teams must act on incomplete records during maintenance, start-up, well intervention, or incident response.

This course develops a practical system for identifying critical knowledge, classifying business records, defining retention requirements, and making validated information retrievable at the point of need. Participants learn to create knowledge-risk maps, develop controlled taxonomies and metadata, distinguish records from working documents, design retention and disposal schedules, establish handover packs, and capture lessons from operational events. The programme addresses technical records including P&IDs, well files, maintenance histories, inspection reports, operating envelopes, management-of-change evidence, and project close-out documents.

Through oil and gas cases, repository exercises, and facilitated design workshops, participants apply ISO 15489-1 principles alongside the realities of regulated asset operations. They work with document-control scenarios involving incomplete equipment histories, disputed revision status, departing subject-matter experts, and retrieval requests after an incident. Each participant leaves with a Knowledge and Records Retention Action Plan for a selected asset, function, or project, including a critical-knowledge register, proposed taxonomy, retention matrix, ownership model, and implementation priorities.

Training methodology

The instructor leads short technical briefings followed by working sessions using realistic oil and gas records: equipment dossiers, P&ID revisions, inspection reports, well documentation, maintenance histories, and project handover files. Participants diagnose retrieval and ownership failures, build metadata and retention rules in groups, and test handover and lessons-learned workflows against asset scenarios. Facilitated peer review compares approaches across operations, projects, and corporate functions. On the final day, each participant converts course outputs into a practical action plan for a defined business area.

Day 1: Knowledge risk across the oil and gas asset lifecycle

  • Critical knowledge loss during retirement, rotation, transfer, and contractor demobilisation

Day 2: Technical records classification and repository control

  • ISO 15489-1 record characteristics and records-management processes
  • Oil and gas technical record classes for engineering, wells, integrity, HSE, and projects

Day 3: Retention, disposal, and defensible evidence

  • Retention scheduling for P&IDs, datasheets, well records, inspection reports, and maintenance evidence
  • Legal holds, incident investigations, claims, and suspension of routine disposal

Workshop: Participants build a retention matrix for a selected asset area, including retention triggers, accountable owners, review dates, and hold conditions.

Day 4: Knowledge capture, handover, and lessons learned

  • Change management for adoption of metadata, handover, and disposal practices
  • Ninety-day implementation planning and executive reporting

Workshop: Participants complete and present a Knowledge and Records Retention Action Plan containing priorities, owners, measures, repository controls, and a 90-day launch sequence.
