Course overview
Distribution operations depend on accurate stock positions, reliable replenishment signals, controlled purchasing, and timely order fulfilment. In Sage X3, these processes are connected through product-site records, sales orders, purchase orders, allocation rules, deliveries, and financial postings. When users do not understand those links, organisations face preventable stock-outs, excess inventory, incorrect delivery commitments, delayed invoices, and weak traceability. This course enables distribution professionals to use Sage X3 as an operational control system rather than simply a transaction-entry tool.
Participants work through the Sage X3 distribution workflow from master data setup to sales fulfilment, procurement, receiving, inventory movements, replenishment, shipment, invoicing, and operational reporting. They learn to configure and use product, customer, supplier, warehouse, and site data; process sales and purchase documents; manage stock by location and lot where applicable; apply allocation and replenishment parameters; investigate exceptions; and produce practical distribution reports. The emphasis is on understanding how decisions in one function affect inventory availability, customer service, procurement workload, and accounting accuracy.
Delivered over five instructor-led days in the classroom or live online, the course combines guided Sage X3 demonstrations with realistic distribution scenarios, transaction workshops, troubleshooting discussions, and reporting exercises. Participants use a training environment to complete an end-to-end distribution case and leave with a documented Sage X3 distribution operating workbook: process maps, key transaction steps, control checks, replenishment settings, and a job-relevant improvement plan. A certificate of completion is awarded to participants who complete the programme.
The course is designed for intermediate Sage X3 users and operational staff who need to improve distribution execution, support system adoption, or translate warehouse and supply-chain requirements into controlled Sage X3 processes.

Requirements and prerequisites
Participants should have practical experience of distribution, warehousing, purchasing, sales order processing, or inventory control, plus a working familiarity with core Sage X3 navigation, menus, searches, and record entry. They should understand basic concepts such as stock on hand, purchase orders, sales orders, lead times, delivery dates, warehouses, and inventory adjustments. Prior experience in Sage X3 distribution functions is helpful but not essential. Participants do not need programming, database administration, Crystal Reports design, or formal ERP implementation experience. A laptop is required for live online delivery; classroom participants will use the supplied training environment.
Training methodology
An instructor leads short, focused explanations of Sage X3 distribution functions, then participants complete transactions in a configured training environment. Exercises follow a continuing case involving product master data, customer demand, supplier replenishment, warehouse receiving, allocation, delivery, and returns. Small-group discussions examine the operational consequences of stock-status, lead-time, and allocation decisions. Daily debriefs use Sage X3 inquiries and document traceability to diagnose errors. On the final day, each participant converts the case learning into a distribution operating workbook and application plan for their own role.

Day 1: Sage X3 distribution foundation and master data
- Sage X3 distribution architecture, navigation, menus, favorites, and inquiry conventions
- Company, site, warehouse, and location structures for multi-site distribution
- Product master, product-site, product-category, and unit-of-measure configuration
- Customer, ship-to address, supplier, and carrier master data relationships
- Stock statuses, stock accounting principles, and inventory availability definitions
- Sales, purchasing, inventory, and finance document flow in Sage X3
- Data-quality controls for product, supplier, customer, and warehouse records
Workshop: Participants build the core master data for a distributor, including product-site, customer, supplier, warehouse, and location records, and validate the resulting transaction options.
Day 2: Sales order fulfilment and customer delivery
- Sales quotation and sales order entry with pricing, discounts, and requested delivery dates
- Credit status, order holds, and order-validation controls
- Stock availability inquiry, allocation methods, and back-order handling
- Picking, packing, delivery creation, shipment confirmation, and carrier information
- Partial deliveries, substitutions, shortages, and delivery-date exception management
- Sales invoice generation, invoice controls, and document traceability
- Customer returns, return receipts, credit notes, and returned-stock dispositions
Workshop: Participants process a set of customer orders with available stock, partial allocation, back orders, delivery confirmation, invoicing, and a customer return.
Day 3: Procurement, receiving, and inventory movements
- Purchase requisition and purchase order workflows in Sage X3
- Supplier pricing, lead times, order quantities, and expected receipt dates
- Purchase order approval, commitment visibility, and amendment controls
- Goods receipt processing, receipt discrepancies, and inspection or quality status
- Put-away, inter-location transfer, inter-site transfer, and stock adjustment transactions
- Lot, sublot, serial number, expiry-date, and traceability management
- Supplier returns, receipt reversal, and purchase invoice matching controls
Workshop: Participants create a replenishment purchase order, receive a mixed shipment, resolve a quantity discrepancy, transfer stock, and process a supplier return.
Day 4: Replenishment, inventory control, and exception management
- Reorder point, safety stock, minimum quantity, and maximum quantity planning parameters
- Planning policies, lead times, order multiples, and economic order quantity considerations
- Replenishment proposals and purchase-order generation from demand signals
- Stock inquiry analysis by site, warehouse, location, status, lot, and allocation
- Cycle counting, physical inventory preparation, count entry, and variance investigation
- Negative stock prevention, blocked stock, expired stock, and stock-status controls
- Document traceability for tracing demand, supply, inventory movements, and financial impact
Workshop: Participants analyse a stock exception report, adjust replenishment parameters for selected products, generate supply proposals, and document the controls required for approval.
Day 5: Distribution reporting, controls, and workplace application
- Operational inquiries for open sales orders, back orders, deliveries, purchase orders, and stock
- Sage X3 reporting outputs for inventory valuation, turnover, ageing, and movement analysis
- Dashboard and KPI design for fill rate, order cycle time, stock accuracy, and supplier performance
- Crystal Reports output concepts and selecting operational fields from Sage X3 data
- User roles, segregation of duties, audit trails, and approval controls in distribution processes
- Troubleshooting common distribution issues using document links, traceability, and inquiry evidence
- Distribution process improvement planning and key-user support procedures
Workshop: Participants complete an end-to-end distribution case, produce an operational control workbook with reports and exception checks, and present a 90-day application plan.
