Course overview
NGO programmes frequently run across multiple grants, partners, field locations and reporting cycles, yet work plans are often maintained in disconnected spreadsheets, email chains and meeting notes. This creates avoidable risks: duplicated activities, late donor deliverables, unclear ownership, weak escalation of blockers and limited visibility for programme managers. This course helps development and humanitarian teams configure Asana as a practical coordination system for programme implementation, operational support, partner engagement and grant-funded delivery.
Participants learn to translate logframes, work breakdown structures, donor commitments and implementation schedules into structured Asana portfolios, projects, tasks and milestones. They practise setting up responsibility matrices, task dependencies, approval workflows, custom fields, forms, dashboards and reporting views that support programme governance. The course also addresses permissions, data protection considerations, field-team access, partner collaboration and methods for separating sensitive case-management information from operational coordination data.
Delivered through instructor-led demonstrations, NGO-focused scenarios and guided configuration workshops, the course uses a simulated multi-country programme with livelihoods, MEAL, procurement and partner-management workstreams. Participants build a reusable Asana workspace design, including a programme portfolio, project templates, reporting dashboard, risk and issue workflow, and a practical governance guide. They leave with an implementation-ready configuration blueprint that can be adapted to their organisation’s grants, teams and operating model.

Requirements and prerequisites
Participants should have practical experience working in an NGO, development programme, humanitarian response or grant-funded operational environment, and should understand basic concepts such as work plans, activities, deliverables, deadlines, responsible persons and reporting cycles. Familiarity with Asana navigation, creating tasks and using a project is helpful, but participants do not need advanced Asana administration experience. A laptop with access to an Asana account is required for workshops; a trial or training workspace can be used where organisational access is unavailable. No coding, database design or formal project-management certification is required.
Training methodology
The course combines short instructor-led demonstrations with hands-on configuration in Asana. Participants work through a realistic NGO programme case, moving from a donor work plan and logframe to a portfolio, linked projects, task workflows and management reporting. Small-group workshops test approaches for partner coordination, approval routing, delayed activities and sensitive information. Daily review sessions connect tool settings to programme governance decisions. On the final day, each participant adapts the methods to a current work-planning challenge and completes an implementation blueprint with priorities, owners and rollout actions.

Day 1: Structuring NGO work in Asana
- Mapping grant commitments, logframe outputs and operational activities into work-planning components
- Asana workspace, team, portfolio and project architecture for NGO operating models
- Selecting project views for implementation planning: list, board, timeline and calendar
- Designing task hierarchies with tasks, subtasks, milestones and deliverables
- Assigning task owners, collaborators, due dates and accountability expectations
- Using task descriptions and attachments as implementation records rather than email threads
- Establishing naming conventions for grants, countries, partners and reporting periods
Workshop: Participants convert a sample livelihoods programme work plan into an Asana portfolio and two linked implementation projects.
Day 2: Building controlled delivery workflows

- Preparing a phased rollout plan for a programme, country office or support function
Workshop: Participants present an Asana implementation blueprint for their own work context, including configuration priorities, governance rules and a 90-day rollout plan.
