Course overview

NGO monitoring teams often collect high volumes of programme data but struggle to turn it into trustworthy, timely evidence. Forms may contain inconsistent indicators, incomplete submissions, duplicate records, weak consent controls, or location data that cannot be mapped. These problems delay donor reporting, obscure implementation gaps, and leave programme managers unable to act confidently on field results. This course addresses the operational challenge of designing, deploying, governing, and analysing KoboToolbox data systems for humanitarian and development programmes.

Participants learn to build robust KoboToolbox projects using XLSForm, including repeat groups, skip logic, constraints, calculations, cascading selections, media capture, GPS questions, and multilingual labels. They configure user access, form deployment, data collection workflows, quality checks, exports, and correction processes. The course also covers indicator-to-question mapping, mobile data collection protocols, personally identifiable information controls, and practical analysis workflows using Microsoft Excel and Power BI.

Delivery combines instructor-led demonstrations with guided form-building labs based on realistic NGO scenarios such as beneficiary registration, post-distribution monitoring, community feedback, baseline surveys, and field supervision. Participants progressively develop a monitoring data collection solution for a programme of their choice or a supplied case study. They leave with a tested KoboToolbox form, an XLSForm source file, a data-quality protocol, a field enumerator briefing checklist, and an action plan for implementation within their organisation.

Requirements and prerequisites

Participants do not need programming, database administration, GIS expertise, or prior XLSForm coding experience. A laptop with a modern browser and permission to access KoboToolbox is required.

Training methodology

The course uses short instructor-led demonstrations followed by structured KoboToolbox build sessions on individual laptops. Participants work through an NGO monitoring case, converting indicators into questions, creating an XLSForm, testing it on mobile devices, and reviewing real-time submissions. Small-group reviews examine form usability, consent wording, data-protection risks, and common enumerator errors. Excel and Power BI exercises use exported Kobo data to identify quality issues and produce reporting outputs. The final session includes peer feedback and an implementation-planning workshop for each participant’s own programme context.

Day 1: Monitoring architecture and KoboToolbox project design

Workshop: Participants map a supplied programme results framework into a monitoring questionnaire blueprint with questions, response types, and indicator links.

Day 2: Advanced XLSForm construction and form logic

Frequently asked questions

No prior KoboToolbox experience is required, but participants should understand basic monitoring concepts such as indicators, questionnaires, and data quality. The course starts with KoboToolbox project setup, then moves into XLSForm design and advanced logic at an intermediate-to-advanced pace.

Bring a laptop with a current web browser, Microsoft Excel or equivalent spreadsheet software, and permission to access KoboToolbox. Android access is useful for the KoboCollect exercises, although participants can still complete the core form-design work without their own Android device.
