Course overview
Project managers are judged not only by whether a project is delivered, but by whether sponsors, customers, delivery teams and suppliers remain aligned while decisions are made under pressure. Misread stakeholder expectations, vague status reporting, unresolved disagreements and inconsistent escalation can turn manageable delivery issues into missed milestones, scope disputes and loss of confidence. This course equips project managers to make communication a controlled project discipline rather than an ad hoc activity.
Participants learn to analyse stakeholder influence and information needs, build communication management plans, frame concise executive messages and run decision-focused project meetings. The course develops practical skills in translating technical detail for non-technical audiences, reporting progress and risk without concealment, facilitating difficult conversations, negotiating commitments and escalating issues with clear options and recommendations. Participants also practise communication approaches for hybrid teams, cross-functional dependencies, project change and conflicting stakeholder priorities.
Delivery combines instructor-led models with realistic project scenarios, message-writing clinics, role-played steering committees and structured peer feedback. Participants work from a project case throughout the week and produce a usable Project Communication Playbook: a stakeholder map, communication matrix, meeting cadence, reporting templates, escalation path and messages for a live project challenge. The result is a set of communication assets that can be adapted immediately for their current project.

Requirements and prerequisites
Participants should have practical experience working on projects, such as maintaining plans, coordinating workstreams, attending project meetings or reporting progress to a manager. Familiarity with core project concepts including scope, milestones, dependencies, risks, issues, changes and stakeholders is assumed. Participants should be able to discuss a current or recent project scenario, although confidential details need not be shared. No formal project management certification, advanced presentation training or specialist software expertise is required. A laptop is useful for completing templates, but participants can also work from supplied course materials.
Training methodology
The week uses short instructor-led briefings followed by applied communication work drawn from a realistic multi-stakeholder project case. Participants diagnose stakeholder positions, rewrite weak project updates, facilitate simulated governance meetings and practise escalation and conflict conversations in rotating roles. Small-group critique is used to test whether messages are clear, decision-ready and appropriate for each audience. The final day includes an individual application workshop in which each participant assembles and receives feedback on a Project Communication Playbook for a current or representative project.

Day 1: Communication as a Project Control System

Workshop: Participants create a stakeholder map and communication matrix for a complex project case, defining audiences, messages, channels and owners.
Day 2: Clear Reporting and Executive Messaging
- Audience-led message design for executives and delivery teams
- Writing concise project status reports
- RAG status criteria and evidence-based narrative
- Distinguishing risks, issues, assumptions and dependencies
- Forecasting milestones, budget and resource impacts
- Decision papers with options and recommendations
- Visual reporting using dashboards and milestone views
Workshop: Participants rewrite an ambiguous project update into an executive dashboard narrative and a one-page decision brief.
Day 3: Meetings, Governance and Decisions
- Designing decision-focused project meeting agendas
- Meeting roles, facilitation moves and time-boxing
- Steering committee communication and governance etiquette
- Decision logs, action registers and accountability wording
- Managing challenge, silence and competing viewpoints
- Presenting bad news without defensiveness or blame
- Following up decisions through Microsoft Teams and project records
Workshop: Participants facilitate a simulated steering committee meeting and produce a decision log, action register and stakeholder follow-up message.
Day 4: Difficult Conversations and Stakeholder Alignment
- Diagnosing stakeholder resistance and hidden interests
- Interest-based negotiation for scope, priority and resource conflicts
- Structured feedback using situation-behaviour-impact language
- Assertive communication and boundary-setting techniques
- Managing conflict between business, technical and supplier groups

Workshop: Participants role-play a scope conflict with a sponsor and supplier, then prepare an escalation brief with options and a recommended course of action.
Day 5: Communication Leadership for Hybrid Delivery

Workshop: Participants complete and present a Project Communication Playbook containing their stakeholder strategy, reporting templates, meeting cadence and escalation approach.
