Course overview
Facilities managers are expected to keep workplaces safe, compliant, available and cost-controlled while responding to competing demands from occupants, suppliers, finance teams and senior leaders. Weak work-order data, unclear maintenance priorities, poorly defined service levels and reactive spending can quickly produce downtime, tenant complaints and audit exposure. This course equips facilities managers to run day-to-day operations as a managed service: with visible performance controls, defensible priorities and clear accountability across internal teams and outsourced providers.
Participants learn how to structure a facilities operating model, translate asset and space information into maintenance plans, and control work from request through completion and verification. The programme covers preventive, corrective and condition-based maintenance; asset criticality; backlog management; service-level agreements; contractor performance; statutory compliance registers; operational risk; utilities monitoring; annual operating budgets; and dashboard reporting. Participants practise using work-order workflows, RACI matrices, maintenance schedules, KPI definitions, root-cause analysis and escalation procedures to make operational decisions with evidence.
Delivery combines instructor-led explanation with practical facilities scenarios, including a multi-site office portfolio with recurring HVAC faults, overdue statutory inspections, contractor underperformance and budget pressure. Participants work with operational templates and sample data in Microsoft Excel, review examples from IBM Maximo and Archibus, and apply ISO 41001 principles to service planning. They leave with a facilities operations control pack containing a maintenance prioritisation matrix, KPI dashboard specification, service-provider scorecard, compliance action tracker and 90-day improvement plan for use in their own portfolio.

Requirements and prerequisites
This is a foundation-to-intermediate course. Participants should understand the basic purpose of facilities services such as maintenance, cleaning, security, space support and contractor coordination, and should ideally have some exposure to work orders, supplier invoices or building-service issues. Confidence reading simple spreadsheets and using Microsoft Excel filters, formulas and charts is helpful because operational data is analysed during the course. No engineering qualification, prior CMMS administration experience, formal ISO 41001 knowledge or specialist software licence is required. Complete beginners can attend, but should expect a practical introduction to facilities terminology, maintenance workflows and performance measures before applying them in exercises.
Training methodology
The course uses short instructor-led modules followed by structured application to a realistic facilities portfolio. Participants map service responsibilities, triage maintenance requests, build preventive-maintenance schedules, review supplier data and create dashboard measures from sample work-order records. Facilitated case discussions examine the operational consequences of deferred maintenance, missed inspections and weak contractor controls. Small-group workshops produce practical templates rather than theoretical notes. On the final day, each participant adapts the course tools to a current workplace or building challenge and receives peer and instructor feedback on a 90-day action plan.
