Course overview
HR Coordinators are often the operational control point for the employee lifecycle: maintaining accurate records, preparing contracts and changes, coordinating recruitment and onboarding, supporting payroll inputs, responding to employee queries, and producing reports for HR managers. Errors at this level can create missed right-to-work checks, inconsistent documentation, payroll corrections, delayed hires, and unreliable workforce data. This course equips coordinators to move from task completion to controlled, auditable HR administration that supports sound people decisions.
Participants learn to design and operate core HR coordination processes across recruitment, onboarding, employee data management, absence and leave administration, performance-cycle support, offboarding, and HR reporting. They practise using checklists, service-level measures, document-control methods, HRIS data fields, Excel validation techniques, process maps, and issue logs. The course also addresses confidentiality, data minimisation, retention schedules, access controls, and escalation routes for employee relations, safeguarding coordinators from acting beyond their authority.
Delivery combines instructor-led technical sessions with realistic HR operations cases, including a high-volume onboarding scenario, a personnel-file audit, an HRIS data-cleaning exercise, and an employee lifecycle risk review. Participants build an HR Operations Control Pack containing process maps, compliance checklists, a data-quality dashboard, an onboarding tracker, escalation criteria, and a 90-day implementation plan for their workplace. This practical portfolio gives both the participant and their manager evidence of methods ready for immediate use.
The programme is suited to experienced HR Coordinators, HR Administrators and HR Officers who already handle core HR transactions and are expected to improve process quality, data reliability, and service delivery.
Course objectives
By the end of this course, participants will be able to:
- Map an end-to-end employee lifecycle process using SIPOC, RACI and control-point analysis
- Build compliant recruitment, onboarding and offboarding checklists with ownership and evidence requirements
- Apply HRIS data-governance rules for mandatory fields, validation, access permissions and audit trails
- Use Excel pivot tables, data validation and exception reports to identify HR data-quality issues
- Create a personnel-file audit plan using document indexes, retention rules and sampling criteria
- Produce monthly HR operations metrics for turnaround time, case volume, data accuracy and overdue actions
- Distinguish routine coordination queries from employee-relations issues requiring formal escalation
- Develop an HR Operations Control Pack for implementation in a live HR function
Benefits of attending
For you
- Gain a repeatable framework for coordinating employee lifecycle activity without relying on informal memory or email trails
- Build confidence in challenging incomplete forms, missing evidence and inaccurate HRIS records before they create downstream problems
- Demonstrate readiness for senior HR Coordinator, HR Officer or People Operations Specialist responsibilities
- Create credible management information using operational metrics rather than anecdotal updates
- Develop a practical HR Operations Control Pack that can be presented as evidence of process-improvement capability
For your organisation
- Reduce onboarding, contract-change and offboarding errors through clearer ownership, checklists and evidence controls
- Improve HRIS data accuracy for payroll, headcount reporting, workforce planning and audit requests
- Lower compliance exposure by applying consistent document retention, access-control and escalation practices
- Shorten response times for employee and manager requests through visible workflows and service-level measures
- Provide HR managers with reliable operational dashboards that identify backlogs, exceptions and recurring process failures
Target competencies
Who should attend
- HR Coordinators — who manage employee lifecycle transactions and need stronger controls, reporting and escalation judgement
- Senior HR Administrators — who oversee HR documentation, HRIS updates and service delivery across multiple cases
- HR Officers — who support managers with recruitment, onboarding, absence and employee-record processes
- People Operations Coordinators — who need repeatable workflows for high-volume, employee-facing HR services
- HR Shared Services Analysts — who monitor transaction quality, service levels and HR case backlogs
- Office or Operations Managers with HR duties — who need to formalise employee administration before expanding HR support
Requirements and prerequisites
Participants should have at least six to twelve months of experience supporting HR administration, such as maintaining employee records, issuing standard letters, coordinating interviews, processing onboarding tasks, or responding to routine policy queries. They should understand basic employee lifecycle terms, confidentiality obligations, and the purpose of an HR information system. Familiarity with Microsoft Excel, including sorting and filtering data, is assumed; pivot tables will be taught in context. Participants do not need prior experience with Workday or SAP SuccessFactors, legal qualifications, payroll certification, or responsibility for employee relations case decisions.
Training methodology
The programme uses instructor-led workshops built around the documents and decisions HR Coordinators handle each week. Participants analyse employee lifecycle cases, map hand-offs between HR, payroll, managers and IT, and practise identifying missing evidence in sample personnel files. Guided Excel exercises turn HRIS extracts into exception reports and service-level dashboards. Small groups design onboarding and offboarding controls, then test them against realistic delays and policy breaches. On day five, each participant completes an application plan and refines their HR Operations Control Pack with instructor feedback.
