Course overview

Humanitarian teams need reliable assessment data quickly enough to influence operational decisions, while protecting respondents and meeting donor, cluster and internal reporting requirements. Poorly designed forms, unmanaged enumerator workflows, duplicate submissions and weak quality checks can delay response analysis or produce evidence that cannot be defended. This course addresses the practical work of building, deploying and managing KoboToolbox assessments for rapid needs assessments, baseline surveys, post-distribution monitoring and service-mapping exercises.

Participants learn to translate assessment objectives and indicators into KoboToolbox forms using the Form Builder and XLSForm. They configure skip logic, constraints, calculations, repeat groups, select-one and select-multiple questions, geolocation, media capture and multilingual labels. The course also covers KoboToolbox project settings, user roles, Enketo web forms, KoboCollect mobile deployment, enumerator briefing, offline data collection, data synchronisation, exports and first-line quality assurance. Humanitarian data-responsibility practices are embedded throughout, including informed consent, minimisation of personally identifiable information, secure access and safe handling of sensitive records.

Delivery combines instructor demonstrations with guided build sessions and a realistic rapid-assessment case study. Participants work through the full workflow: defining an assessment plan, constructing and testing a mobile form, setting up an enumerator-ready deployment, reviewing incoming submissions and producing a clean export for analysis. Each participant leaves with a tested KoboToolbox assessment package, including an XLSForm, a deployment checklist, an enumerator briefing note and a data-quality review plan that can be adapted for their programme context.

The course is suited to staff who commission, coordinate, collect or use humanitarian assessment data and need an operational command of KoboToolbox rather than a general introduction to monitoring and evaluation.

Course objectives

By the end of this course, participants will be able to:

• Prepare enumerator instructions covering consent, device workflow, offline synchronisation and escalation of data issues.
• Review live submissions using KoboToolbox validation views, metadata and routine data-quality checks.
• Export and document a cleaned assessment dataset for analysis in Excel, QGIS or another approved reporting workflow.

Requirements and prerequisites

This is a foundation-to-intermediate course and does not require prior KoboToolbox experience or programming knowledge. Participants should be comfortable using a web browser, spreadsheets and Android smartphones or tablets, and should understand the basic purpose of a questionnaire or survey. Familiarity with humanitarian assessment concepts such as indicators, target populations, informed consent and enumerator roles is helpful but not essential. Participants who have used Excel will progress more quickly in the XLSForm sessions. Statistical analysis, GIS expertise, database administration and prior experience with ODK are not required.

Training methodology

The instructor uses a single humanitarian rapid-needs-assessment scenario throughout the week, so each feature is applied to a recognisable operational decision. Short demonstrations of KoboToolbox are followed by individual form-building tasks, peer testing and troubleshooting clinics. Teams review flawed questionnaires, identify protection and data-quality risks, and redesign them using XLSForm logic. Participants also simulate an enumerator deployment with KoboCollect, inspect incoming records and conduct a daily quality review. The final session includes an application-planning workshop for adapting the completed package to a live programme.

Course outline

Day 1: Assessment design and KoboToolbox foundations

• Humanitarian assessment purposes: rapid needs, baseline, post-distribution and service mapping
• From decision questions to indicators, respondents and data fields
• KoboToolbox account structure, projects and project settings
• Form Builder interface and core question types
• Question wording, response options and recall-period design
• Informed consent, data minimisation and sensitive-data classification
• Assessment workflow mapping from design through analysis

Workshop: Participants convert a rapid-assessment scenario into an assessment matrix and a first KoboToolbox form draft with consent and core household questions.

Day 2: XLSForm construction and intelligent questionnaire logic

• XLSForm workbook structure: survey, choices and settings sheets
• Question names, labels, hints and appearance settings
• Select-one, select-multiple, integer, decimal, date and text fields
• Relevance expressions for skip logic and respondent pathways
• Constraints, constraint messages and range validation
• Calculations, default values and hidden metadata fields

Workshop: Participants build an XLSForm version of their assessment, including skip logic, validation constraints, a calculation and two language labels.

Day 3: Mobile deployment and enumerator operations

Workshop: Teams deploy a tested form to KoboCollect, complete an offline pilot submission and produce an enumerator deployment checklist.

Day 4: Submission monitoring, quality assurance and responsible data handling

• Daily data-quality checks for completeness, outliers and logical inconsistencies
• Identifying duplicate, rushed and implausible enumerator submissions

Workshop: Participants conduct a simulated daily quality review of incoming records, flag errors and create a corrective-action log for enumerator follow-up.
