They learn to manage projects and users, deploy forms to KoboCollect, test on mobile devices, monitor submissions, export data, and conduct initial quality checks. The course also addresses informed consent, data minimisation, safeguarding-sensitive questions, device security, and field protocols for humanitarian and development contexts.

Training is delivered through instructor demonstrations, guided form-building labs, realistic programme scenarios, peer review, and troubleshooting clinics. Each participant develops a deployable KoboToolbox form and supporting field data collection pack for a selected monitoring use case, such as post-distribution monitoring, beneficiary feedback, activity monitoring, baseline data collection, or facility assessment. The pack includes an indicator-to-question mapping sheet, tested form, enumerator instructions, data-quality checks, and an export-ready dataset structure that can be taken back to the workplace.

Requirements and prerequisites

Participants should bring a laptop with permission to access KoboToolbox and spreadsheet files, plus an Android phone or tablet if available. No prior KoboToolbox, XLSForm, programming, GIS, or database experience is required. Complete beginners should expect guided practice with form design and mobile testing.

Training methodology

The instructor uses a single development or humanitarian monitoring case throughout the week, moving from an indicator matrix to a deployed mobile form and usable data export. Short demonstrations are followed by hands-on configuration in KoboToolbox, XLSForm editing, Android device testing, and structured peer review of question wording and logic. Participants diagnose deliberately flawed forms and submissions, then work in groups on field scenarios involving connectivity, consent, enumerator error, and sensitive data. The final session includes an application-planning workshop in which each participant adapts their form pack for an active or planned programme.

Day 1: From M&E requirements to digital form specifications

• Question wording, recall periods, units of measure, and disaggregation design
• Indicator-to-question mapping and variable naming conventions
• Survey flow, respondent burden, and questionnaire sequencing

Workshop: Participants map a selected monitoring objective to an indicator-to-question specification and create the initial KoboToolbox project.

Day 2: Building robust KoboToolbox forms

• Select-one and select-multiple lists with controlled choice values
• Constraints for ranges, dates, identifiers, and response formats
• Relevance expressions and skip logic for conditional question paths
