Course overview
Administrative teams are often expected to deliver faster service while managing growing volumes of requests, approvals, records, meetings, correspondence and reporting. Yet delays frequently arise from avoidable hand-offs, unclear ownership, duplicated data entry, incomplete requests, overloaded inboxes and approval queues that no one measures. This course gives office professionals a practical Lean Office method for finding where work waits, reworks or disappears, then redesigning the workflow without reducing service quality or compliance controls.
Participants learn to map end-to-end administrative processes, distinguish customer value from non-value-adding activity, define service demand and establish meaningful baseline measures. The course applies value stream mapping, SIPOC, process observation, root-cause analysis, 5S for digital and physical workspaces, standard work, visual management and simple pull systems to office processes. Participants gain the ability to analyse request-to-completion time, identify bottlenecks, set work-in-progress limits, improve forms and hand-offs, and present an improvement case using an A3 report.
Delivery combines instructor-led explanation with office-based cases, process-mapping workshops, data exercises and peer review. Participants work on a realistic administrative workflow such as onboarding, invoice processing, meeting coordination or document approval, using Excel, Visio and structured Lean templates. They leave with a completed Lean Office improvement pack: a current-state map, waste analysis, root-cause record, future-state workflow, standard-work draft, measures and a 90-day implementation plan suitable for discussion with their manager.
The course is designed for experienced administrative, business support and office operations staff who influence how work moves between people, systems and departments. It also equips team leaders to sponsor practical improvement without needing to run a large-scale transformation programme.

Requirements and prerequisites
Participants should have practical experience of an office, business support or shared-services process and be able to describe its main customers, inputs, hand-offs and recurring problems. Familiarity with basic spreadsheet use, including entering data, sorting and simple calculations in Microsoft Excel, is assumed. Participants should be comfortable discussing workflow evidence with colleagues and reviewing forms, inboxes, trackers or approval steps. Prior Lean, Six Sigma, project-management or process-mapping certification is not required. Statistical software, coding skills and advanced Excel formulas are not needed; templates and guided examples are provided.
Training methodology
The instructor uses short Lean Office demonstrations followed by structured application to administrative scenarios and participant-selected workflows. Teams observe a simulated request process, capture timings and hand-offs, build SIPOC and value stream maps, and test improvements against service, control and workload constraints. Excel is used to calculate workflow measures, while Visio or Miro supports process visualisation. Daily peer critique strengthens the practical quality of maps and countermeasures. The final day is an implementation workshop in which each participant completes a manager-ready A3 and 90-day action plan.

Day 2: Measuring flow and finding root causes

- Bottleneck identification using demand-capacity analysis
- Pareto analysis of errors, delays and request categories
- 5 Whys root-cause analysis for recurring workflow failures
- Ishikawa diagrams for people, process, policy, system and information causes
Workshop: Participants analyse a request-log data set in Excel and produce a bottleneck statement supported by Pareto and timing evidence.
Day 3: Designing the future-state office process
- Future-state value stream mapping for administrative services
