Course overview
HR generalists are often responsible for the operational details that determine whether employees are paid correctly, records are complete, managers receive timely support, and policy decisions can withstand scrutiny. Yet many generalists inherit fragmented processes: email-based requests, inconsistent onboarding checklists, incomplete employee files, unclear ownership between HR and payroll, and reports that do not reconcile. This course addresses the practical work of designing, controlling, and improving the employee lifecycle processes that sit at the centre of a reliable HR function.
Participants examine how to run core HR operations from hire to exit: employee data management, onboarding administration, contracts and documentation, absence and leave administration, payroll input controls, policy implementation, HR service delivery, and records retention. They learn to map an HR process using SIPOC and RACI, build standard operating procedures, define service-level measures, identify control failures, and use HR data to monitor workload, compliance, and employee experience. The course also covers how HRIS workflows in Workday and SAP SuccessFactors support accurate, auditable transactions.
Instruction combines focused teaching with realistic operational cases, workflow reviews, spreadsheet exercises, and group design workshops. Participants work through a simulated HR operations backlog, correct data-quality issues, create a process control matrix, and redesign a high-volume employee request process. They leave with an HR Operations Improvement Pack containing a process map, RACI, SOP template, control checklist, KPI dashboard outline, and 90-day improvement plan that can be adapted to their own organisation.
The course is designed for practising HR generalists who already understand the employee lifecycle and now need to run its processes with greater consistency, visibility, and control. It is equally valuable for managers seeking to reduce rework, compliance exposure, and avoidable escalation in a growing or decentralised HR function.
Course objectives
By the end of this course, participants will be able to:
- Map an employee lifecycle process using SIPOC, swimlane flowcharts, and hand-off points
- Create a RACI matrix that assigns ownership for HR, payroll, managers, employees, and external providers
- Draft a standard operating procedure with triggers, inputs, approval steps, exceptions, and evidence requirements
- Build an HR process control matrix covering data validation, segregation of duties, approvals, and audit trails
- Analyse HR operational data in Microsoft Excel to identify backlog, turnaround-time, and data-quality issues
- Configure requirements for HRIS workflows, notifications, approval routing, and employee self-service transactions
- Define HR service-level agreements and KPI measures for response time, first-contact resolution, and case volume
- Produce a 90-day HR operations improvement plan prioritising process fixes, owners, measures, and review dates
Benefits of attending
For you
- Gain a repeatable method for turning informal HR tasks into documented, measurable workflows
- Build confidence challenging unclear ownership, missing approvals, and weak employee-data controls
- Develop evidence-based HR reporting skills for discussing backlog, turnaround time, and service quality with leaders
- Strengthen readiness for HR Operations, HR Advisor, and HR Shared Services leadership responsibilities
- Leave with a portfolio-ready HR Operations Improvement Pack rather than notes alone
For your organisation
- Reduce transaction errors through clearer validation, approval, and evidence controls
- Shorten employee and manager response times by removing duplicate steps and unclear hand-offs
- Improve audit readiness with standard operating procedures, retention practices, and traceable decision records
- Increase HRIS data reliability for payroll inputs, workforce reporting, and management decisions
- Create consistent HR service standards across locations, business units, and individual HR team members
Target competencies
Who should attend
- HR Generalists — who administer multiple employee lifecycle processes and need stronger operational control
- HR Officers — who manage employee records, letters, onboarding, and policy-related transactions
- HR Advisors — who need consistent workflows for responding to manager and employee requests
- HR Operations Specialists — who are standardising service delivery, controls, and performance measures
- HR Coordinators — who need to move from task execution to documented, measurable process management
- HR Team Leaders — who oversee transaction quality, workload allocation, and HR service performance
Requirements and prerequisites
Participants should have at least one year of practical exposure to core HR administration, such as maintaining employee records, issuing employment documentation, supporting onboarding, processing absence information, or responding to manager queries. Familiarity with the employee lifecycle, basic HR policies, and spreadsheet use is assumed; participants should be able to enter formulas, filter data, and work with tables in Microsoft Excel. Experience with an HRIS is helpful but not essential. No prior process-improvement qualification, system-configuration experience, payroll certification, legal training, or advanced data-analysis capability is required.
Training methodology
The instructor uses short, decision-focused sessions to introduce operating models, controls, HRIS workflow logic, and service measures, followed by applied work on realistic HR cases. Participants map an onboarding process, diagnose incomplete employee records, calculate service metrics in Microsoft Excel, and test approval scenarios against a control matrix. Small groups compare alternative process designs and defend their choices against compliance, employee experience, and workload criteria. Each participant finishes by translating the exercises into a prioritised 90-day plan for one HR operations process in their workplace.
